We are seeking candidates to fill an Administrative Coordinator position at our Corporate Headquarters located in Chesapeake, VA.
Essential Duties and Responsibilities- Coordinate and administer company outreach and community engagement programs, including initiatives such as United Way, Angel Tree, and other employee-focused activities.
- Purchase, prepare, and distribute employee recognition and milestone gifts, including family event gifts, memorial trees, holiday gifts, and other company acknowledgments.
- Maintain inventory and distribution of awards, gifts and promotional items.
- Manage the online company store, including inventory tracking and employee order status.
- Order and maintain office supplies, stationery, business cards, and copy room materials to support daily operations.
- Serve as the primary point of contact for shipping, receiving, and mail operations for the Corporate Office.
- Process incoming and outgoing mail and packages, ensure timely distribution to recipients, coordinate vendor pickups, and communicate shipment tracking information as needed.
- Provide professional front desk and receptionist support by answering and directing telephone calls, managing inquiries, and coordinating visitor access and deliveries.
- Coordinate office functions and employee events, including company monthly office gatherings, holiday celebrations and other corporate activities.
- Support new hire orientation activities by preparing orientation materials, creating employee folders, name tents, and badges, coordinating meals, setting up training rooms, and ensuring facilities are prepared before and after events.
- Prepare, edit, and format business correspondence, reports, presentations, slide decks, and other office documents.
- Create, maintain, and update spreadsheets, tracking logs, databases, and office records to ensure information is accurate and current.
- Manage office calendars and availability.
- Exercise discretion and professionalism while handling confidential and sensitive information.
- Provide administrative support to departmental leaders and employees as needed.
- Perform other related duties and special projects as assigned.
- High school diploma or equivalent required.
- Three years of administrative, office management, or corporate office support experience preferred.
- Strong verbal and written communication skills with the ability to interact professionally with employees, visitors, vendors, and leadership.
- Excellent organizational, time management, and multitasking skills with the ability to prioritize competing responsibilities.
- Proficiency in Microsoft 365 applications, including Word, Excel, PowerPoint, Outlook, SharePoint, Teams, and Adobe Acrobat.
