Hampton Roads Transit is seeking dynamic, customer‑service oriented, and energetic individuals to serve as Senior Executive Assistant to the Chief Transit Operations Officer. Essential Job Functions- Act as an active member of the Operations Senior Executive Team.
- Prepare correspondence, reports, memoranda, and other documents.
- Provide telephone support for the COO, including answering, placing calls, and taking messages.
- Proofread and edit documents for accuracy.
- Maintain confidentiality and secure storage of sensitive information.
- Manage the COO’s calendar, schedule meetings, and coordinate appointments.
- Process expense requests, obtain approvals, and manage travel for the department.
- Provide administrative support to the Operations and Oversight Committee (meeting notices, agendas, set‑up, minutes, and file maintenance).
- Act as back‑up for the Senior Executive Administrator to the CEO and the Executive Administrator for the monthly TDCHR Meeting.
- Maintain the departmental budget and oversee procurement of office supplies.
- Prioritize work, meet deadlines, and operate computer equipment to produce office documents.
- Manage records in compliance with Hampton Roads Transit Records Management Policies and procedures.
- Coordinate records management efforts and provide related training to department staff.
- Perform any other duties as assigned.
- Organize and maintain departmental files according to HRT’s Records Management Policies and Procedures.
- Prepare documents for imaging, designate file codes, and forward to Records Management.
- Archive, store, and dispose of records per the approved retention schedules.
- Attend training meetings and provide information to staff on records management.
- Proficiency with Microsoft Word, Outlook, and Excel; experience with PowerPoint preferred.
- Basic problem‑solving skills for software applications.
- Internet research and general research skills.
- Perform all duties safely to protect oneself, colleagues, and the public.
- Promote safety awareness and follow all safety procedures and policies.
- Report unsafe conditions and hazards to supervisor, manager, or Safety Department.
Minimum requirements include completion of high‑school courses or a GED. An advanced degree or additional business and/or secretarial training is preferred. Applicants must demonstrate strong oral and written communication skills.
Required ExperienceSignificant experience as an Administrative or Executive Secretary reporting to a CEO, Executive, or equivalent level department head.
Licenses or CertificatesMust possess a valid Driver’s License. A Virginia Driver’s License must be obtained within 60 days of hire when the applicant resides outside Virginia.
