Job Description
The Chesapeake Police Department is looking for a dependable, detail-oriented, and service-minded professional to join our team as a Police Records Clerk
. This important role supports the Department and our community by providing professional customer service and ensuring police records and information are handled accurately, efficiently, and confidentially. Working within the Central Records Unit, the Police Records Clerk assists the public, Department employees, and other agencies with records, requests, and related services.
Essential Duties and Responsibilities:
- Provides professional assistance to the public, Department employees, and other agencies in person, by telephone, and through other forms of communication.
- Receives, processes, tracks, and responds to FOIA requests in accordance with applicable laws, regulations, and Department procedures.
- Processes applications and required procedures for volunteers, interns, police recruits, pawn brokers, precious metals dealers, solicitors, fortune tellers, and taxi operators.
- Registers and maintains sex offender records and conducts local background checks and related research.
- Receives, processes, distributes, and maintains mail, correspondence, forms, reports, and other official documentation.
- Enters, updates, verifies, edits, researches, and maintains accurate information in Department databases, records systems, and other available information sources.
- Prepares, maintains, retrieves, and distributes records, reports, correspondence, and other official documents.
- Performs fingerprinting services and processes related applications, permits, licenses, and documentation.
- Performs routine administrative and financial duties, including processing fees, balancing cash drawers, and maintaining simple account information.
- Maintains the confidentiality and security of sensitive, personal, and law‑enforcement‑related information in accordance with applicable laws, policies, and procedures.
- Performs other related duties as assigned.
Required Qualifications
VOCATIONAL / EDUCATIONAL REQUIREMENT :
Requires high school diploma or GED and any combination of education and experience equivalent to satisfactory completion of one year of college education.
EXPERIENCE REQUIREMENT : In addition to satisfying the vocational/education standards, this class requires a minimum of three months of related, full-time equivalent experience.
SPECIAL CERTIFICATIONS AND LICENSES : Requires valid driver’s license and driving record in compliance with City Driving Standards

SPECIAL REQUIREMENTS : Employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.
Preferred Qualifications
- In addition to satisfying the applicable vocational and educational requirements, a minimum of one year of related, full-time equivalent work experience is preferred.
- Experience in a law enforcement, public safety, records management, or high-volume office environment is highly desirable.
- Customer service and cash-handling experience is also preferred.
