The Proposal Coordinator supports the development and execution of proposals for federal and professional services pursuits. This role works closely with Proposal Strategists, business development, and project management teams to ensure timely, compliant, and high-quality submissions. The ideal candidate is detail-oriented, organized, and skilled at coordinating multiple moving parts in a fast-paced environment.

Key Responsibilities
  • Assist in the development of proposal plans, storyboards, and initial proposal management documents
  • Support go/no-go decision processes and official proposal kickoff meetings
  • Coordinate proposal team assignments and schedules
  • Prepare proposal content, marketing materials, and graphics for Pink Team / Red Team reviews
  • Track proposal compliance and deadlines, ensuring submission accuracy and completeness
  • Support post-submittal activities, including interview preparation and checkmate phase deliverables
  • Help develop negotiated contract outlines and maintain proposal documentation
  • Assist with tracking metrics such as budget, schedule, diversity goals, and project deliverables
  • Support submission of materials for industry awards and trade publications (ACEC, ENR, etc.)
  • Attend professional associations, conferences, and trade shows; assist with booth setup and preparation
  • Perform other duties as assigned, complying with all company policies and standards
Qualifications
  • Bachelor’s degree in Marketing, Communications, Business Administration, or related field
  • Relevant experience may substitute for degree requirement
  • 2–4 years of experience in proposal support, marketing, or business development within a professional services firm
  • Experience in an Architecture/Engineering (A/E) firm preferred
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office;
    Adobe InDesign strongly preferred
  • Certified Proposal Management Professional (APMP) preferred
