Responsibilities
The Contract Manager is responsible for managing, administering, and overseeing contracts that support Q-Free’s projects, operations, and services. This role ensures that contracts are executed in compliance with legal, regulatory, and organizational requirements while supporting business objectives, risk management, and operational success. The role will also assist the Global Director of Quality & HSE as a quality manager and handle basic corporate governance matters.
The Contract Manager works closely with internal stakeholders, vendors, customers, and legal or procurement partners to ensure contract terms are clearly defined, understood, and enforced throughout the contract lifecycle. A background in law is beneficial but not required.
- Manage the full lifecycle of contracts, including drafting support, review, execution, amendments, renewals, and closeout
- Ensure contract terms align with Q-Free’s business objectives, project requirements, and regulatory obligations
- Maintain accurate and organized contract records and documentation
- Review contracts for compliance with company policies, applicable laws, and regulatory requirements
- Identify contractual risks and work with internal stakeholders to develop mitigation strategies
- Track obligations, milestones, deliverables, and expiration dates to ensure compliance
- Serve as the primary point of contact for contract‑related matters with vendors, customers, and internal teams
- Collaborate with project managers, operations, finance, and procurement teams to support the company’s initiatives
- Support negotiations by coordinating feedback, clarifying terms, and documenting agreed changes
- Monitor contract value, pricing, and payment terms in coordination with finance
- Review invoices and ensure billing aligns with contractual terms and approved scope
- Support change orders, claims, and dispute resolution as needed
- Ensure adherence to applicable federal, state, and local requirements (as applicable to company projects)
- Support audits, internal reviews, and reporting related to contract performance and compliance
- Contribute to process improvements, templates, and best practices for contract management
- Basic corporate matters
- Insurance renewal and certificate management
- Business licenses and state corporation registrations
- Driving compliance to Q-Free Way
- Identifying nonconformances, ensuring they are registered and that ownership is taken within the organization
- Driving Risk Management in ATMS (e.g. quarterly meetings)
- Performing internal quality audits per year
- Contract interpretation and administration
- Risk identification and mitigation
- Stakeholder collaboration and negotiation support
- Regulatory and policy compliance
- Analytical thinking and problem solving
- Professional judgment and discretion
- Excellent attention to detail and document management skills
- Strong written and verbal communication skills
- Proficiency with Microsoft Office and contract management or document tracking tools
- 5+ years of experience in contract management, contract administration, or commercial management
- Strong understanding of contract terms, commercial risk, and compliance principles
Bachelor’s degree in Business Administration, Contract Management, Finance, Public Administration, or a related field or equivalent experience
