Position: Active Adult Lifestyle - Event Coordinator

Full Time Chesapeake, VA, US

Overview

We are looking for a highly motivated and enthusiastic individual to join our growing organization as an Event Coordinator for an Active Adult community. The duties and responsibilities focus on planning and managing events of varying sizes and purposes, ensuring logistics work smoothly, staying within the allocated budget, coordinating onsite vendors, and promoting a sense of community and resident well-being.

Responsibilities
  • Execute the creative planning, promotion and implementation of recreation activities, managing financial and time constraints with a goal of daily resident engagement and activity.
  • Ensure timely delivery of birthday cards to all residents for the current month.
  • Provide excellent customer service and communication to residents, family members and visitors, while promoting the community’s values.
  • Manage events and address potential problems that may impact event integrity.
  • Monitor clubhouse usage and coordinate the rental schedule.
  • Track event/program enrollment by distributing quarterly surveys to evaluate success and collect suggestions for new events.
  • Collaborate with the community to plan, host and attend events; include events in monthly newsletters and email communications to residents.
  • Perform special projects as assigned by the Property Manager.
  • Work a flexible schedule including split shifts, evenings, weekends, and holidays as required by events.
  • Establish and maintain relationships with vendors and venues, including contract negotiation to achieve favorable terms; secure new vendors, ensure they are approved, and maintain compliance.
  • Provide budgeting feedback to the Property Manager for upcoming year planning.
  • Provide a detailed recap of events through social media to evaluate success.
  • Create and maintain a new resident orientation to ensure a seamless move-in process for all incoming residents.
  • Prepare and distribute monthly activity schedules and newsletters, using Canva for content creation when needed.
Other Responsibilities
  • Assist with leasing and marketing activities on an as-needed basis, including greeting and qualifying prospects, conducting tours, processing applications, and supporting move-ins and lease signings.
  • Inspect apartments prior to move-in and coordinate any outstanding items with the maintenance team.
  • Design and execute marketing activities to drive traffic, including resident referrals and employer outreach, using online tools and following community marketing plans.
  • Use on-site property management software to track availability, leasing activities, and resident data.
  • Ensure show units meet company standards for show quality by inspecting marketing corridors and coordinating maintenance needs.
  • Follow up with prospects and new residents to ensure satisfaction via email, notes, or calls.
  • Support lease renewal activities by preparing renewal letters and packages and coordinating with renewing residents.
  • Respond promptly to resident and owner concerns and document requests for appropriate action.
  • Must be able to work a flexible schedule, including weekends and holidays.
  • Requirements and Skills
    • Proven experience as Event Coordinator or Activities Director.
    • Proven track record of organizing successful events.
    • Proficient in MS Office.
    • Outstanding communication and negotiation ability.
    • Well-organized with multi-tasking skills.
    • Ability to handle stress and remain calm.
    • Problem-solving ability.
    • Degree in hospitality management or public relations with a focus on event management.
    Working Conditions

    Incumbents work in an office environment, but may have frequent exposure to outside elements where temperature, weather, odors, and/or landscape may be unpleasant and/or hazardous.
