The main purpose of this position is to serve as the Executive Assistant to the Health Officer of the Kent County Health Department while providing essential support across key departmental functions. This position will manage the Health Officer's schedule, organize appointments, and draft correspondence and reports. This position will triage telephone calls and visitors. This position will follow up on telephone calls and visitor inquiries as needed.
This position will also provide support to leadership. This position will serve as the designated Public Information Officer and manage public information requests, internal and external communications and promotional efforts. This position will also oversee records retention and the policy and procedures system to safeguard organizational data and establish structured operational guidelines.
Education:
Graduation from an accredited high school or possession of a high school equivalency certificate.
Experience:
Five years performing secretarial work or clerical work involving typing duties.
Notes:
1. Additional secretarial or clerical experience may be substituted on a year-for-year basis for the required education.
2. Thirty credit hours with a major in secretarial science or office technology from an accredited college may be substituted at the rate of thirty credits for one year of experience for up to two years of the required experience.
3. Candidates may substitute U.S. Armed Forces military service experience as a non-commissioned officer in Administration or Personnel Specialist classifications or Administrative, Clerical, or Office Services specialty codes in the Special Assistant or Secretarial fields of work on a year-for-year basis for the required experience.
The desired candidate should possess the following:
1. Experience providing direct administrative support to senior executives, directors or organizational leaders, including calendar management, meeting coordination, correspondence preparation and handling confidential information.
2.
Experience with public communications, public relations, social media management, website content maintenance or responding to public information requests, preferably in a government, public health or healthcare environment.
3. Experience developing, implementing or maintaining records management, records retention, policy management or compliance systems, including organizing complex information and ensuring regulatory compliance.
Demonstrated ability to accurately type on a keyboard of a personal computer at a minimum of forty words per minute may be required, depending on the specific requirements of the position.
