Job Summary
The Executive Assistant will provide high‑level administrative support to the CEO and other Executive Team members. Reporting directly to the EVP Program Management, the Executive Assistant will work in a one‑on‑one capacity, serving as a liaison to the board of directors and senior management teams. Responsibilities include organizing and coordinating executive outreach and external relations efforts, managing all travel arrangements for the CEO, and overseeing special projects.
Key Responsibilities- Manage sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the company’s global operations.
- Sustain a daily calendar of meetings and events.
- Prepare Word, Excel, PowerPoint presentations, agendas, reports, special projects, and other documents that support organizational objectives.
- Arrange travel and accommodations for executives and prepare expense reports.
- Screen incoming telephone calls, take and deliver accurate messages, and refer non‑routine calls to appropriate staff.
- Demonstrate excellent communication and time‑management skills with proven ability to meet deadlines.
- Function effectively in a high‑paced environment and perform additional duties as assigned by executives.
- Draft and prepare correspondence for internal announcements, board meetings, and other organizations the executive is involved with.
- Manage the Executive’s contacts and assist in preparing and managing presentations and decks.
- Respond promptly to emails/texts/phone calls, including outside normal business hours.
- Welcome the Executive’s guests by greeting them either in person or on the phone, answering or directing inquiries.
- Use discretion, confidentiality, and good judgment to handle C‑Level matters.
- Represent the company and the Executive in a positive light through follow‑through skills and sound judgment.
- Conserve the Executive’s time by researching, collecting, and analyzing information in advance.
- Complete ad‑hoc projects as assigned, such as personal events and/or family needs.
- Organize complex calendars and schedules, resolving any scheduling issues.
Skills & Qualifications
- Bachelor’s degree desired.
- 5+ years of related experience as an executive assistant supporting C‑Level executives.
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and Google Suite applications.
- Ability to communicate effectively and professionally.
- Flexible hours as dictated by business needs for projects and meetings.
- Strong business sense with ability to decipher priorities and make sound judgment calls.
- Commitment to excellence and consistent high‑level performance.
- Excellent communicator, able to interact confidently with people at all levels.
- Comfortable handling sensitive information with professionalism.
- Team player with team‑oriented experience and approach.
- Service focus—dedicated to meeting the expectations of the CEO and other senior executives by maintaining effective relationships with interested parties.
- Creative thinking with a sense of urgency.
- Self‑initiative in identifying and acting on tasks that need attention.
