Office Manager
We are hiring a dynamic Office Manager to support a full-service environmental engineering and industrial hygiene firm based in Bethesda, MD. They provide value-engineered solutions to the myriads of environmental problems. The work is concentrated in the areas of asbestos, lead-based paint and indoor air quality. They are an established (20-year) small business looking forward to substantial growth in the next 3 years.
Growth will require flexibility, and will provide opportunities for advancement.
Please note:
At least through training and initial period, this is an on-site position. Partial remote hours may be considered in the future. Our office does operate under appropriate distancing and cleanliness standards intended to provide a safe working environment.
Administrative Management:
- Receptionist Duties: answering phone calls, greeting visitors, manage office supplies and ordering field equipment, manage mail, manage KEM President/EIA Managing Director Calendar
- HR:
Assist with Payroll, Health Insurance/Benefits and onboarding new hires - IT:
Serve as primary contact for IT consultant and key other vendors, manage phone system, office equipment, associated softwares and subscriptions, maintain KEM electronic file system
Financial Management Assistance:
- Administrative support
- Banking
- Notary Public
- Quickbooks entries and support
- Bookkeeping, producing monthly financial reports for Board of Directors, reconciling bank accounts
- Data Entry, Payment/Invoice Management
- Administrative support to the Managing Director and other staff
- Chapter payment and quarterly dues portion management
- Training material order processing
Conference:
- Annual Fall Technical Seminar and National Conference administrative support
- Board of Directors material meeting preparation
- Managing conference supplies and shipping
Membership:
- Assisting members with dues renewal
- Assisting with Membership Dues Invoicing and membership card mailing
• An ability to work with multiple projects and deadlines simultaneously,
• Exceptional organizational skills,
• College degree (required),
• Proficiency with MS Office Suite, Google Calendar, Adobe Acrobat
• Quick Books accounting skills,
• A team-player-attitude and flexibility
• Professional demeanor and proven communication skills with all types of professionals.
