Position: Office Support Specialist II 2026-00284

Overview

The Wyoming Department of Agriculture is seeking an Office Support Specialist II for its Consumer Health Services Division. This position administers the food, pool, and spa licensing database, processing licenses and renewals; handles accounting procedures and fee distributions; coordinates meat program data, including collecting monthly slaughter and processing data from field inspectors and generates monthly and/or quarterly reports for local and federal agencies;

enters weekly activity reports into a database and generates a quarterly report; maintains sick and annual leave records; coordinates staff inventory; sorts mail for management staff and performs other administrative functions; designs and produces brochures and semi-annual newsletter; sets logistics for staff meetings, workshops, and task force meetings; receives and disseminates calls from the public; writes letters to delinquent licensees;

works closely with local health departments on licensing issues and public calls.

Essential Functions
  • Administrator of the inspection program database.
  • Maintains databases for licensing and required reports.
  • Performs executive-level administrative and support duties.
  • Plans meetings.
  • Responsible for program integrity assurance.
  • Provides a review and evaluation function to ensure that compliance issues/concerns within the organization are appropriately evaluated, investigated, and resolved.
  • Creates and edits reports and documents for management.
  • Manages schedules and timelines for the manager.
  • Management and oversight of all office equipment and supplies.
  • Responsible for processing, maintaining, and quality control of records and documents.
  • Performs program and/or fiscal duties.
  • Coordinates program functions between a variety of sources.
  • Complies with vital information.
  • Acts as a resource to provide information or interpretation of agency-specific rules/regulations to staff, the public, or other government entities, and/or to determine the most effective way of meeting the needs of management, staff, clients, or customers.
Preferences

Preference may be given to applicants with an Associate's degree (typically in Business or Office Management), plus 1-2 years of progressive work experience (typically in Business or Office Management).

Knowledge
  • Knowledge of applicable computer applications.
  • Knowledge of records processing and maintenance procedures and systems.
  • Knowledge in the preparation of complicated documents.
  • Knowledge and understanding of the agency, and each respective division/program.
  • Knowledge of investigating alleged non-compliance.
  • Knowledge of project management.
Minimum Qualifications

Education: Associate's Degree (typically in Business)

Experience: 0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

OR

Education & Experience Substitution: 2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

  • Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
