TSS/260 day contract, Monday-Friday, 8 hours daily, Pay Column K: $18.06/hourly, +Benefits.
The position provides secretarial support to assigned Directors and the department, establishes and maintains department records, coordinates assigned projects, compiles and distributes material and reports, and monitors budgets in the entire Curriculum and Instruction Department.
Essential Functions- Attends department and/or in-service meetings for the purpose of conveying and/or gathering information required to perform functions.
- Collaborates with a variety of staff (e.g. principals, coordinators, etc.) for the purpose of ensuring the budgets are maintained and utilized properly.
- Compiles data (e.g. work orders, budget reports, specialized reports, personnel records, etc.) for the purpose of preparing reports or processing requests.
- Coordinates assigned projects and/or program components for the purpose of completing activities and/or delivering services in a timely fashion.
- Maintains a variety of manual and electronic documents files and records for the purpose of providing up-to-date information and/or historical reference in accordance with established administrative guidelines and legal requirements.
- Maintains inventory of supplies and materials for the purpose of ensuring items' availability.
- Prepares a variety of correspondence, reports, and other materials for the purpose of documenting activities, providing written reference, and/or conveying information.
- Processes a variety of documents and materials for the purpose of disseminating information in compliance with established administrative guidelines.
- Researches a variety of topics for the purpose of providing information and/or recommendations that address a variety of administrative requirements.
- Responds to inquiries from a variety of internal and external parties for the purpose of providing information, facilitating communication among parties and/or providing direction.
- Schedules a variety of activities for the purpose of making necessary arrangements for assigned administrator.
- Performs other related duties as assigned for the purpose of ensuring the efficient and effective functioning of the work unit.
Minimum Qualifications
Knowledge : basic math, reading a variety of manuals, writing documents following prescribed formats, solving practical problems; computer skills using office application software and machines.
Skills : customer service, operating standard office equipment, using software applications, preparing and maintaining accurate records.
Abilities : scheduling activities, gathering, collating, and classifying data; working in multiple locations; flexibility; problem solving; confidentiality.
ResponsibilityWork under limited supervision following standardized practices; lead, guide, and coordinate others; operate within a defined budget.
Work EnvironmentPhysical demands include lifting, carrying, pushing, pulling, stooping, kneeling, crouching; 80% sitting, 10% walking, 10% standing; generally hazard free.
ExperienceJob related experience is required.
EducationHigh School diploma or equivalent.
