Position: Office Support Specialist 2026-01631

General Description

The Wyoming Department of Corrections is seeking a dedicated and dependable professional to join our team as an Office Support Specialist in Cheyenne. This vital position provides administrative support and operational assistance to the Central Support Services Division, helping ensure the efficient delivery of services that support correctional facilities and programs across the state.

Responsibilities
  • Act as a specialist in the assigned program area, performing the most complex technical duties, which may include legal secretary responsibilities.
  • Perform, lead, or supervise a wide variety of moderate to complex program and operational support duties.
  • Provide assistance with front desk coverage and mail distribution.
  • Assist with tracking, assigning, reviewing, and uploading correspondence for the support system of the Restoration of Rights.
  • Perform and lead various operational support duties.
  • Perform specialized tasks and coordinate general office functions such as budget, legal work, administrative, property management, travel arrangements, procurement, personnel, information systems, or fiscal duties, and provide training to staff.
  • Conduct research, troubleshoot office systems or procedures for efficiency and accuracy; collect, organize, and detail documentation in writing the required documentation in answering queries.
  • Coordinate and/or act as a liaison between the agency or work unit and other agencies.
  • Process monthly electronic filing; correspond with operators regarding production filing; set up new operators for electronic filing.
  • Maintain financial or other records; verify statistical reports for accuracy and completeness; assist with publishing statistical reports.
  • Assist in budget development, analysis, interpretation, and recommendation, including handling deposits and monetary transactions and/or performing audit functions.
  • Accurately maintain agency files and records; input data into databases.
  • Prepare reports; verify computer systems, databases, and coded data for accuracy.
  • Respond verbally and/or in writing to requests for information.
  • Screen and correct documents for procedural compliance; evaluate information for accuracy.
  • Provide customer service to customers, clients, and staff, and act as a resource and explain rules and procedures to co‑workers, customers, and/or clients.
  • Be responsible for inventory assets.
  • Perform administrative duties requiring considerable judgment, which may involve fiscal, human resources, or other specific program areas.
  • Resolve some light computer issues/concerns.
  • Greet, screen visitors, and interview customers/clients to evaluate and determine needs.
  • Refer customers to appropriate supportive service agencies.
  • Track information.
  • Maintain and review case files to determine actions to be taken.
  • Evaluate information for accuracy.
  • Assure the procurement process is managed appropriately and according to established procedures.
  • Involve some processing/interpreting of legal documents.
  • Document and seal expungement cases; serve as the point of contact and document all fingerprints received.
Qualifications
  • Preference may be given to those with at least two years of work experience in an office environment.
  • Knowledge of applicable federal, state, and local laws, codes, regulations, and policies, technical processes, and procedures related to the department.
  • Knowledge of financial record keeping and reporting principles and procedures, basic accounts payable, and purchasing.
  • Knowledge of the principles and practices of employee supervision, training, and evaluation.
  • Knowledge of techniques for providing a high level of customer service.
Minimum Qualifications
  • 2‑4 years progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant I.
  • OR 0‑1 year progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Assistant II.
  • OR Associate’s Degree (typically in Business).
