Office Administrative Specialist Ii
The Wyoming Department of Environmental Quality (WDEQ), Air Quality Division (AQD), is seeking a disciplined and detail-oriented professional to serve as an Office Administrative Specialist II to perform executive/management administrative duties. In this capacity, you will provide critical administrative oversight and technical support in a fast-paced, solution-driven, and team-oriented environment. This role requires supporting and assisting Division operations by working with an electronic air quality data management system;
reviewing, processing, and distributing time-sensitive documents; and performing other specialized tasks. This front-line position is critical in day-to-day division operations. This position is also responsible for producing formal correspondence and specialized reports unique to the WDEQ - AQD mission, necessitating a high degree of written precision and professional communication. As a representative of the AQD, you will facilitate efficient daily operations by performing receptionist duties, providing management support, and coordinating office-wide administrative tasks.
The successful candidate will serve as a professional liaison for the division, utilizing excellent oral and written communication skills to interface effectively with division staff and external stakeholders.

Essential functions:
- Performs, leads, or supervises a wide variety of moderate to complex division operational administrative support duties requiring considerable independent judgment
- Timely review, process, and distribute sensitive documents for permit and enforcement actions, air quality primacy program activities such as rule-making and state plan submittals
- Perform specialized tasks, coordinate general office functions, and assure related processes are appropriately managed and in accordance with established procedures including administrative, procurement, travel arrangements, information systems, fiscal transaction duties, and staff training
- Research and troubleshoot office systems or procedures for efficiency and accuracy and make recommendations for improvement.
- Independently applies knowledge of division administrative requirements and assist the division in carrying out the department and division goals and objectives
- Utilize division business processes to track and evaluate information, process and maintain electronic and hard-copy records, and aid in support of Records and Data Manager
- Provide customer service to internal and external customers and act as a resource
- Provide telephone coverage to address calls from industry and the general public
- Help plan, coordinate and schedule meetings, including virtual meetings and conference calls, meeting room reservations and arrangements, court reporter scheduling, and follow-up, and public noticing
- Work collaboratively and share responsibilities in a team environment with co-workers
- Capable of working in a high-volume and time-sensitive atmosphere
Preferences:
- Preference will be given to applicants with two or more continuous years of receptionist and administrative support experience in a business office setting.
- Preference will be given to applicants with two or more years of experience using Microsoft Office and Google Suite products.
- Preference will be given to applicants with excellent organization, multitasking, and time management skills.
- Preference will be given to applications with the ability to maintain and track various workflow processes. Preference will be given to applicants with accurate data entry skills.
- Preference will be given to applicants able to work independently and maintain confidentiality.
Minimum qualifications:
Education:
Associate's Degree (typically in Business)
Experience:
0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I OR Education & Experience Substitution: 2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I Certificates, Licenses, Registrations :
None
Physical working conditions:
- Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
