Office Administrator/ Coordinator, Administrative Management
Under the general direction of the Fair Manager, performs advanced administrative and operational duties in support of the Laramie County Fair, with primary responsibility for oversight and coordination of all livestock and animal related operations. - Provides advanced administrative support related to livestock operations, including data entry, record keeping, correspondence, and reporting.
- Serves as the primary coordinator for all livestock shows, including scheduling, logistics, and facility use.
- Oversees and enforces livestock rules, policies, and procedures to ensure consistency, fairness, and compliance.
- Acts as a primary point of contact for exhibitors, parents, superintendents, judges, and partner organizations.
- Coordinates closely with superintendents to ensure clear expectations, accountability, and successful execution of shows and events.
- Assists in the planning, coordination, and execution of the Junior Livestock Sale, including pre-fair preparation and post-sale reconciliation.
- Reviews and manages exhibitor entries specific to livestock, ensuring accuracy and completeness of data.
- Coordinates animal health documentation requirements and works with veterinarians or inspectors as needed.
- Addresses and resolves exhibitor and public concerns in a professional and timely manner, including high-stress or contentious situations.
- Assists in developing, updating, and communicating livestock rules, deadlines, and procedures.
- Provides on-site supervision of livestock areas and events during the Fair, including evenings and weekends.
- Supports setup, operations, and breakdown of livestock facilities and related infrastructure.
- Assists with training and coordination of temporary staff and volunteers assigned to livestock operations.
- Maintains accurate records and reports for livestock participation, results, awards, and financial tracking.
- Provides support across other Fair operations and administrative functions as needed.
- Performs other duties as assigned or required.
High School Diploma or equivalent required; additional education or training in agriculture, animal science, event management, or a related field preferred. AND Two (2) years of experience in administrative support, event coordination, livestock operations, or a related field; or an equivalent combination of education, training, and experience. Must possess a valid driver’s license with an acceptable driving record.
Preferred QualificationsExperience working with livestock programs, fairs, or agricultural events preferred.
Knowledge and Skills- Knowledge of livestock show operations, agricultural practices, or county fair programming.
- Knowledge of administrative and clerical practices, including record keeping and data management.
- Knowledge of office software applications including word processing, spreadsheets, and event or entry management systems.
- Knowledge of standard office equipment and procedures.
- Skill in coordinating complex, multi-step events involving multiple stakeholders.
- Skill in interpreting and enforcing rules, policies, and procedures consistently and professionally.
- Skill in managing conflict and responding effectively in high pressure or emotionally charged situations.
- Skill in communicating clearly and professionally with the public, exhibitors, and partner organizations.
- Skill in managing multiple priorities and deadlines simultaneously.
- Skill in maintaining accurate records, reports, and documentation.
- Skill in working both independently and as part of a team
