The Contracts Specialist supports Lucky Star Casinos, Hotels, and Convenience Stores by administering contracts from intake through execution and closeout. This role is the day-to-day manager of the contract lifecycle process and serves as a primary administrator/power-user for contract management software and e-signature tools. The Contracts Specialist assists in identifying deviations from approved standards, escalates risk issues for legal review, and ensures stakeholders follow required approval and documentation procedures.

Essential Duties and Responsibilities
  • Under the supervision of legal, serve as the central point of contact for contract requests: intake, triage, completeness checks, and assignment to the appropriate workflow, and draft, revise, and format contracts, amendments, statements of work, and related documents using approved templates, clause library, and playbooks; prepare redlines and comparison versions.
  • Coordinate internal review and approvals (Procurement, Legal, Finance, Operations, IT, Risk/Compliance) and document approvals in the contract management system.
  • Route contracts for execution using e-signature tools; ensure signature authority is followed and fully executed copies are distributed and stored in the repository.
  • Maintain the contract repository and contract log(s): accurate metadata, key terms, renewal/notice dates, obligations, and supporting documents (COIs, exhibits, vendor documents).
  • Track renewals, expirations, and notice requirements; drive timely renewal/termination decisions and send required reminders and notices for review/approval.
  • Support procurement solicitation activities (RFIs/RFQs/RFPs) by maintaining standard terms, assembling contract packages, and coordinating bidder/vendor documentation.
  • Maintain vendor compliance documentation required by policy (e.g., certificates of insurance, W-9/W-8, licenses/permits as applicable to the vendor/engagement) and coordinate updates with stakeholders.
  • Prepare contract summaries and status reports; develop dashboards/metrics (cycle time, backlog, renewals, clause deviations) for Procurement and Legal leadership.
  • Support continuous improvement: update standard templates, playbooks, and SOPs in coordination with Legal and Procurement; assist with training stakeholders on process and tools.
  • Handle sensitive and confidential information appropriately, including information that may be subject to attorney-client privilege; follow all information security and records retention requirements.
  • Maintain current required licenses for all tribal and state entities.
  • Must exhibit STAR treatment to all customers and co-workers.
  • Other duties as assigned.

Job Requirements
  • Sit and/or stand continuously and perform job functions for a full shift with lunch break in an office environment.
  • Requires bending, twisting, reaching, crouching, kneeling, lifting and pulling.

Qualification Standards
  • Minimum 5 years of contract administration/contract management experience in a corporate, government, or Tribal environment.
  • Demonstrated experience managing contract lifecycle activities (intake, drafting/redlining, approvals, execution, repository, renewals, reporting).
  • Experience with contract management and e-signature tools (e.g., Ironclad, Docu Sign) and strong proficiency in Microsoft Office (Word, Excel, Outlook).
  • Strong writing, organization, and attention to detail; ability to manage multiple deadlines and stakeholders without dropping tasks.
  • Ability to communicate professionally with internal leaders and external vendors; comfort discussing business terms and escalating legal/risk issues appropriately.
  • Ability to qualify for and maintain a Cheyenne-Arapaho Gaming License; must pass required pre-employment screening (including drug test, as applicable).
  • Bachelor’s degree or certification in procurement, contracting, paralegal studies, or a related discipline.
  • Attention to detail and ability to handle complex documentation.
  • Must pass pre-employment drug test.
  • Excellent verbal and written communication skills.
