The job of HR Benefits Specialist is to provide support to human resource services with specific responsibility for administering and auditing operational HR processes related to benefits, employee leave, retiree services, and HRIS systems; providing information to employees regarding benefits programs; addressing personnel issues and providing general support; and ensuring compliance with regulatory requirements.
This position reports to the Director of Human Resources.
Essential Functions- Administers employee benefit programs in compliance with contracts, including enrolling new employees, explaining benefit options, mediating eligibility and payment issues, open enrollment, filing claims, special enrollment, return to work.
- Assists personnel, beneficiaries and insurance providers in verifying eligibility, conveying information, and resolving benefits‑related issues.
- Communicates with employees, departments, administrators, applicants, and the public to provide information and assistance concerning employment, personnel records, and legal requirements.
- Audits and reconciles HRIS data for new hires, changes, and terminations to ensure data integrity and accuracy.
- Collaborates with Finance, Payroll, and vendors to troubleshoot discrepancies, resolve compliance issues, and streamline processes.
- Distributes documents such as open enrollment packets, change forms, fringe benefit packages, FMLA guides, applications, flyers, and identification cards.
- Informs employees of procedures and program requirements to enable informed decisions.
- Maintains benefit information—contracts, claim files, records, invoices—to provide an up‑to‑date reference and audit trail.
- Maintains physical and electronic documents, files, and records in compliance with established guidelines.
- Monitors application and eligibility processes for leave programs, coordinating leave and return‑to‑work procedures.
- Participates in meetings, workshops, and seminars as required.
- Prepares written materials—reports, memos, letters—to document activities and convey information.
- Manages benefits and payroll functions for the retiree group and conducts research to ensure accuracy of records and maximize payments.
- Resolves conflicts with benefit providers to verify eligibility and process claims.
- Responds to inquiries from internal and external sources, providing information, referrals, or remediation plans.
- Supports HR administrators and department staff in their work activities.
- Provides cross‑functional coverage for HR Onboarding Specialist and Senior HR Benefits Specialist as a backup.
- Performs other related duties as assigned to support the work unit.
