The Accounting Coordinator supports the financial operations of the organization and its company set by aligning day‑to‑day business cadences with longer‑term project timelines, maintaining interdepartmental communication, and advising accounting staff on GAAP. The Accounting Coordinator leads the month‑end close by reconciling bank and credit card accounts and follows up with appropriate units to drive timely reporting for divisional leadership, C‑suite, board, and grant vouchering.
The coordinator develops and maintains the departmental calendar, tracking key deadlines and programmatic/strategic milestones, advising management on upcoming items to support project management and maintain continuity of day‑to‑day departmental functions. The coordinator leverages their understanding of those projects to support accounting staff with proper accounting treatment under GAAP and company policy. The coordinator assists with audits and reporting to support both timely response and continuity of operations.
of Accountability – What You Will Be Doing
- Reconcile bank accounts and credit cards, coordinate accounting staff for timely month‑end close, support internal/external reporting needs.
- Develop and maintain departmental calendar; coordinate with internal and external units to proactively identify and resolve accounting issues.
- Coordinate with HR, IT, Facilities, and other functional departments to proactively identify and resolve accounting impacts.
- Collaborate with Grants department on needs related to Award/Post‑Award phases.
- Support audit preparation, both annually and as needed for other programmatic audits or fiscal administrative reviews; coordinating with staff to get timely submissions without disrupting daily functional needs; support monthly, quarterly, and annual financial reports.
- Support accounting staff with GAAP questions related to specific projects or entities and associated journal entries or account reconciliations.
- Prepare and review journal entries for accuracy and completeness, ensuring proper documentation and adherence to GAAP and internal policies.
- Assist with system upgrades or implementations related to accounting software and financial reporting tools.
- Identify process improvement opportunities within accounting workflows and recommend solutions to enhance efficiency.
- Monitor accounts payable and accounts receivable processes, assisting with issue resolution, vendor communications, and aging reports as needed.
- All other duties as assigned.
