Administration and Operations Coordinator

Join the University of Chicago as an Administration and Operations Coordinator for the Chicago Center of HIV Elimination. This role supports operations, recruitment, and research activities in a high‑impact community setting.

Job Summary

The Coordinator will manage daily client and event logistics, support data collection and grant writing, coordinate budget and reporting, and provide administrative support to the Center’s leadership.

Responsibilities
  • Prepare the client check‑in area: refill condom and lubricant bowls, set up water and coffee stations, arrange waiting and conference room spaces.
  • Set up and maintain iPads and laptops for client check‑in and collect community member consent forms and releases of information.
  • Collect contact and demographic information for service and research follow‑ups.
  • Support outreach events and recruitment for research initiatives.
  • Schedule space for meetings, interviews, and community events.
  • Provide evening and weekend event support as needed.
  • Attend team meetings and required trainings.
  • Assist a Center leader with administrative support, flow of information, and budget management.
  • Prepare operational and administrative reports and recommend solutions to problems.
  • Perform other related work as needed.
Education and

Minimum Qualifications
  • Vocational training, apprenticeships, or equivalent experience in a related field (four‑year degree not required).
  • 5‑7 years of related work experience.
Preferred Experience and Competencies
  • Experience working with and/or providing care to LGBT populations, Black and Latinx community members, or in the HIV field.
  • Previous administrative support experience.
  • Strong organizational, interpersonal, and communication skills.
  • Proficiency in Microsoft Outlook, Excel, and Word.
  • Ability to manage multiple projects, meet deadlines, and adapt to dynamic environments.
