Atema is currently seeking a motivated and detail-oriented Accounting Assistant to join our team. This role will directly support the CFO and play a key part in maintaining and managing accounting functions. The ideal candidate will demonstrate initiative, flexibility, and a willingness to support accounting and operational responsibilities.
Base pay range$52,000.00/yr - $57,000.00/yr
Job Functions & ResponsibilitiesAccounting Support
- Enter daily/weekly receipts and credit card charges in Quick Books
- Prepare client invoices, service agreements and special billing
- Respond to general customer correspondence and inquiries
- Maintain and organize accounting records by filing, scanning, and document management
- Upload invoices, agreements, travel budgets, and any other critical accounting information to SharePoint, CRM and Task Databases
- Assist with the preparation of financial reports and budget reports
- Maintain and update excel spreadsheets for billing and financial analysis
- Support the reconciliation of bank and credit card accounts
- Prepare and make bank deposits as needed
- Record deposits/payments in Quick Books
- Support with month-end and year-end financial record preparation
- Assist in reviewing timesheets to ensure proper coding of the listed hours
- Process general and project-based expense reports
- Review of OT hours and Expenses for projects
- Follow up on outstanding invoices and agreements
- Process payments for tool orders, equipment rentals
- Review client proposal and apply pricing models to ensure accurate and competitive pricing for services and products
General Office Support
- Assist with checking mail daily and distribution
- Answering the main phone line, forwarding calls, and setting up follow up calls with leads and clients
- Ship tool orders and rental equipment to clients in a timely manner
- Log critical project and sales information into Quick Base (CRM)
- Assist other departments in excel reporting, data entry in excel, creation of new spreadsheet template for reporting
- Assist other departments on organizing project logistics
- Provide administrative and organizational support as needed
- Perform other duties as required
- Effective time management and organizational skills; able to prioritize.
- Proficient in excel functions and formulas
- Excellent communication skills for internal and external correspondence
- Quick Books and/or accounting software experience
- Proficient in Microsoft Office applications (Emphasis on MS Word, MS Excel, and Outlook)
- Two plus years of accounting or bookkeeping experience preferred
- Previous experience using Quick Books or other accounting software
- Bachelor’s degree (BA), preferred or an equivalent combination of education and/or experience
