TITLE: Data Compliance Coordinator
DEPARTMENT: Administration / Club Operations
REPORTS TO: Senior Club Director/Program Director
STATUS: Non-Exempt
PRIMARY FUNCTION:The Data Compliance Coordinator ensures the accuracy, integrity, and security of member and attendance data for the Club. This role manages membership data entry, supports compliance with reporting standards, and assists with grant‑related data tracking. By maintaining organized and complete data systems, the Data Compliance Coordinator helps ensure accountability and data‑driven decision‑making across the organization.
KEY ROLES (EssentialJob Responsibilities ):
- Maintain accurate and timely member and attendance data in My Club Hub or other Club management systems.
- Audit membership and attendance records for completeness and data accuracy.
- Support compliance with state and grant reporting requirements.
- Generate and distribute data reports for leadership, program staff, and funders as needed.
- Monitor data entry timelines and ensure deadlines are met for membership and attendance reporting.
- Collaborate with staff to ensure accurate recording of daily attendance and participation metrics.
- Oversee the entry and management of all new memberships within My Club Hub .
- Maintain organized membership files in the My Club Hub system, ensuring each member has completed information in their profile.
- Track and reconcile membership dues; assist with billing reports and follow‑ups on delinquent accounts as requested by Club leadership.
- Work with staff to verify that youth rosters align with current registration and attendance data.
- Partner with the Program team to ensure accurate data collection for grant deliverables and outcome measurement.
- Support Club staff with data quality checks and My Club Hub troubleshooting.
- Assist with surveys, outcome measurement tools, and reporting for funders or stakeholders.
- Provide feedback to leadership on data trends, inconsistencies, and system improvements.
High school diploma or GED required; some college coursework preferred.
SKILLS/KNOWLEDGEREQUIRED:
- Experience in data entry, record management, or administrative support (1–3 years preferred).
- Familiarity with My Club Hub or similar CRM/database systems a plus.
- Experience in youth‑serving or nonprofit organizations preferred.
- Strong attention to detail, organization, and accuracy.
- Proficiency in Microsoft Excel, Word, and data management systems.
- Ability to handle confidential information with discretion.
- Excellent written and verbal communication skills.
- Comfortable working independently while collaborating with multiple departments.
- Time management and prioritization skills, especially under tight deadlines.
