Denver Office Litigation Legal Administrative Assistant

Nicolaides Fink Thorpe Michaelides Sullivan LLP is seeking a Legal Assistant/Legal Secretary with two to four years of litigation secretarial experience to join our growing Denver office and become an integral part of the firm's administrative and legal support team. This position performs a wide variety of legal support and administrative tasks while demonstrating the ability to exercise good judgment, multi‑task, and meet deadlines.

Ideal candidates are self‑starters who can work independently and as part of a team, are highly organized, and detail oriented. Proficiency with Microsoft Word, Outlook, Excel, PowerPoint, and Adobe Acrobat is required.

Initially the new hire will be asked to work in the office Monday through Friday, but once the tasks and responsibilities are learned, a hybrid schedule will be possible. Three days in the office and two days remote. Our office is in downtown Denver with access to public transportation and nearby parking facilities. The firm provides parking reimbursement if needed.

The anticipated salary range for this position is based on a 35‑hour per week schedule as well as experience; salary will start at $35/hour, with flexibility commensurate with experience.

Primary Duties and Responsibilities
  • Download digital files and save in the appropriate client matter folders in the document management system (Net Docs) and network drives;
  • Coordinate e‑filing in state and federal court, including gathering exhibits, preparing the Table of Contents and Table of Authorities;
  • Update and maintain physical files;
  • Prepare legal documents including formatting, proofreading, making revisions and finalizing;
  • Save documents in document management system (Net Docs);
  • Preparation and submission of attorneys’ expenses;
  • Maintain printers and copiers, including filling with paper, clearing jams, basic troubleshooting, and ordering paper;
  • Order and maintain office snacks, kitchen supplies; including daily upkeep with loading and unloading the dishwasher, checking expiration dates;
  • Place order for monthly attorney lunches, celebrations and office social events;
  • Submit building maintenance requests to property management office;
  • Collaborate with Dallas, Chicago, Los Angeles, San Francisco and San Diego Legal Assistants to provide support to attorneys across the firm;
  • Perform other duties as assigned.
Knowledge, Skills, and Abilities Required
  • 2-4 years of recent experience as a Litigation Legal Assistant/Secretary;
  • Experience with e‑filing in both state and federal court;
  • Strong technology skills;
  • Proficiency in Microsoft Office and Adobe Acrobat Pro;
  • Ability to communicate clearly and concisely, both verbally and in writing;
  • Strong attention to detail and excellent proofreading skills;
  • Ability to work well in a team environment;
  • Ability to prioritize and manage multiple assignments under time pressure;
  • Ability to take initiative and follow through on projects;
  • Ability to perform at high levels and successfully adapt to changing priorities and working demands;
  • Ability to work in the office Monday through Friday initially and then move to hybrid schedule (3 days in office and 2 days remote).
Education, Experience, and Certifications Required
  • Minimum AA degree;
    Bachelor’s degree desirable;
  • Recent experience working in a law firm.
