Base pay range: $65,000.00 per year to $70,000.00 per year.
Job SummaryThe individual in this position will work closely with the Director of Mental Health Services (MHS), the MHS Leadership team, and the MHS Administrative Project Assistant on the daily administrative management and future planning within UChicago Student Wellness (SW). This person will perform administrative, financial, human resources, information technology, property management, and liaison support for MHS, and will handle a variety of tasks across these functions.
Responsibilities- Provides confidential and high-level administrative support for the MHS leadership and keeps them informed of relevant activities.
- Supports the Student MHS Leadership team in daily administrative operations.
- Develops policies and procedures using policy management software and manages their review and implementation.
- Manages the new Mental Health Services employee orientation program.
- Prepares and submits quarterly night and weekend emergency call schedules for MHS leadership.
- Liaises with wellness coordinators and the Student Wellness Center.
- Coordinates scheduling and set‑up/tear‑down for meetings and events.
- Provides administrative support for MHS staff and leadership meetings, including document preparation and minutes.
- Assists with recruitment efforts, coordinating the application process and interview schedules.
- Collaborates with HR Business Partner and other staff to facilitate workforce processes.
- Ensures new staff receive computer and software access and provides training.
- Works with IT, SWC Operations, MHS, and the Project Assistant to develop IT support processes.
- Handles IT support concerns for MHS, from identification to resolution.
- Updates and maintains the SW Website with Health Promotion and Communications Staff.
- Serves as a first‑line resource for Point and Click electronic medical record questions.
- Assists in preparing the MHS budget for Campus and Student Life.
- Represents MHS on Student Wellness Center committees and meetings.
- Ensures confidentiality and privacy standards are met by MHS staff.
- Prepares special reports and summaries; may manage portions of the leader’s budget.
- Coordinates special projects and prepares recommendations for operational issues.
- Performs other related work as needed.
- Bachelor’s degree (preferred). Minimum requires vocational training or equivalent experience; a four‑year degree is not typically required.
- 7+ years of relevant experience.
- Considerable experience with office administration, management, evaluation, and project planning.
- Experience in a clinical care setting, counseling, or healthcare.
- Knowledge of policy management systems or ability to learn quickly.
- Ability to manage competing interests fairly and equitably.
- Independent and collaborative work style.

- Ability to meet short, frequent deadlines in a high‑volume environment.
