Your OpportunityThe Scion Group is seeking an Associate to join the Administrative Services team and support the coordination and execution of smooth, efficient day‑to‑day office operations. This position plays a key role in representing the company to all guests—both internal and external—and provides a range of administrative support to enhance overall productivity. The ideal candidate will demonstrate exceptional professionalism, strong anticipation skills, and efficient organizational abilities.
This is a full‑time, in‑office role based at Scion’s Chicago headquarters.
- General Administration
- Manage reception, guest services, and visitor management during core business hours.
- Ensure continuous coverage at the reception desk; provide coverage if a staff member steps away for more than five minutes.
- Handle visitor sign‑in/out and maintain security compliance with Kastle system.
- Respond to calls and emails promptly, route to appropriate parties, and provide accurate information.
- Coordinate meetings and events: schedule, reserve rooms, book AV and video conferencing, arrange catering, and ensure professional setup.
- Process mail, shipping, and expense reporting; maintain tracking information.
- Support employee onboarding: create key cards, provide access instructions for facilities and amenities.
- Maintain office supplies and equipment, order replacements, and arrange repairs to minimize downtime.
- Office Upkeep
- Open and set up the office each morning (turn on lights, tidy shared spaces).
- Prepare work spaces for new hires every Friday: disinfect surfaces, wipe monitors, and organize desks.
- Conduct weekly inventory of refreshments and office supplies; place orders and verify deliveries.
- Stock shared spaces with snacks and beverages at least three times daily.
- Perform daily cleaning of microwaves, refrigerators, tables, and chairs; maintain hygienic shared areas.
- Coordinate maintenance and vendor services for repairs and restocking.
- Organize storage closets: keep supplies labeled and easily accessible.

What We Require- Two years of customer service and administrative experience in a professional office environment
- Proficiency with Microsoft Office Suite, Adobe Acrobat, scheduling and reservation systems, travel booking systems, and other office technologies
- Strong sense of responsibility and ownership of the role
- Proven ability to maintain confidentiality of information
- Outstanding time‑management skills and attention to detail
- Strong written and verbal communication skills
- Ability to anticipate obstacles and resourcefully resolve them

The base salary range for this full‑time position is base + bonus + benefits. Our salary ranges are determined by role, level, and location. The range displayed on each job posting reflects the minimum and maximum target for new hire salaries for the position across all US locations. Within the range, individual pay is determined by work location and additional factors, including job‑related skills, experience, and relevant education or training.
