Purpose of the RoleThe Executive Assistant is a key support role, working for the North America CEO. The EA will be trusted with highly confidential information and be expected to screen all contacts and requests for time and any mail received. Sound judgment and positive influencing skills are therefore crucial.
The North America CEO role involves significant and sophisticated travel across multiple regions and to participate in global events which require strong planning and coordination from the Executive Assistant.
Role Responsibilities- Complex and significant international diary management for the North America CEO, including co-ordination of key Exec meeting agendas and liaison with Exec EA's on Board matters.
- Organize travel itineraries and in-market visits ensuring the best use of the North America CEO's time.
- Coordinate key Executive meetings and events. Circulate pre-read in a timely manner, monitoring responses and following up on actions.
- Ensure effective and efficient fluid communication is maintained with Executive Members to ensure appropriate co-ordination.
- Screen telephone calls, dealing with all routine queries and using initiative and judgment to seek appropriate responses for non-routine issues.
- Handle all incoming post and e-mail traffic effectively and promptly, ensuring that all non-routine matters are handled effectively including the efficient distribution of information.
- Ensure all Purchase Orders and invoices are completed in a timely, accurate and compliant manner.
- Timely management of expenses via Concur, ensuring a thorough filing and reference system is in place.
- Proactively handle electronic and hard copy filing.
- Work as part of the Executive Assistant team, providing support and assistance where required.
- Support of North America CEO on presentation materials, paperwork and management for Board meetings.
- Supporting the North America CEO with any high-level recruitment and ensure that all briefing meetings are scheduled, and any confidential documents are brought to their attention quickly so that any follow-on action can be taken to ensure a swift process.
- Ensuring that key internal meetings are scheduled in the diary e.g. monthly Staff meetings, monthly LT meetings and regular call-overs with key LT and Exec members.
- Following up on any actions that came out of the meetings and ensuring that they are completed within the requested timeline.
- Provide logistics support for all LT Meetings whether they are face-to-face or virtual, onsite or offsite.
- Excellent interpersonal skills required to provide professional internal and external representation of the North America CEO.
- Able to build strong working relationship with a highly diverse partner set. Is comfortable dealing with people at all levels.
- Able to work independently with minimal direction, self-starter, proactive with a well-developed sense of maturity and self-confidence.
- Able to prioritize time and workload, maintaining the balance between urgent and routine issues. Assists the North America CEO in achieving objectives through effective time management.
