Job DescriptionOur client is seeking a Bookkeeper who will also play a key role in supporting day‑to‑day office operations. The ideal candidate is proactive, organized, and comfortable working in a small office setting where responsibilities are varied and collaboration is key.
Key Responsibilities- Reconcile all travel‑related credit card charges on a monthly basis
- Collect and compile receipts for invoicing referring attorneys when costs are shared
- Issue, send, and track outgoing checks on a weekly basis
- Match incoming payments (credit card, operating account checks, Zelle, etc.) to corresponding invoices
- Compile print, postage, and Westlaw expenses by case at the end of each month
- Organize and manage invoices from experts and external organizations
- File and maintain all case‑related invoices by month and year
- Communicate with lien holders throughout the lifecycle of a case and maintain detailed lien records
- Prepare and distribute all disbursements related to case closings (lien holders, co‑counsel, trust accounts, and clients)
- Establish accounting files for new matters and properly close files for declined cases
- Order and manage office supply inventory
- Receive, review, and process incoming mail
- Process and pay recurring monthly expenses (e.g., utilities, copier, postage, gas)
- Manage and pay monthly cell phone expenses for designated clients
- Process payment of attorney dues and related fees
- Track and monitor CLE requirements and completed credit hours
- Strong proficiency with Quick Books (required)
- High attention to detail and accuracy
