Shift: Shift 1 – 8:30 AM to 5:00 PM
Pay Range: $25.20–$39.69 per hour

Summary

The Administrative Assistant 3 works independently on multiple tasks simultaneously while maintaining the highest level of confidentiality. The role demands focus, the ability to perform well under pressure, prioritize effectively, and meet deadlines. Responsibilities include composing letters and reports, planning, developing, and completing assignments with minimal direction while exemplifying Rush’s mission, vision, and values and adhering to all Rush policies and procedures.

Job Qualifications
  • High School Diploma.
  • Five years’ administrative experience in a healthcare setting.
  • Strong project and time‑management skills.
  • Proactive and resourceful.
  • Customer‑focused.
  • Excellent written and verbal communication skills.
  • Advanced skills in Microsoft Office (Excel, Access, PowerPoint), scheduling/calendar software.
  • Ability to coordinate and prioritize multiple tasks, projects, and schedules.
  • Ability to work independently.
  • Ability to interact effectively and efficiently with all levels.
Preferred Job Qualifications
  • Bachelor’s degree.
Responsibilities
  • Type correspondence and work with PowerPoint presentations and computer problem solving.
  • Prepare and schedule meetings.
  • Manage daily operations, organize work, set priorities, meet critical deadlines, and follow up on assignments with minimal direction.
  • Exercise discretion and independent judgment in daily activities and executive administrative details of a confidential nature.
  • Complete special assignments requiring collection, organization, and analysis of data for decision making.
  • Manage multiple calendars, decide appointment priorities, arrange and prepare agendas, provide background information for complex internal and external meetings and projects.
  • Prepare confidential correspondence, reports, and other documents.
  • Reconcile accounts payable requests.
  • Answer administrative phone calls, receive and screen patients and visitors’ calls, e‑mails and faxes, provide information, and resolve complaints using good judgment and policy interpretation.
  • Arrange travel (registration, airline, accommodations) and prepare itineraries for leadership to attend meetings; track reimbursement submissions.
  • Co‑ordinate conference room reservations.
  • Serve as primary contact for ordering, stocking office supplies and managing office equipment maintenance, repair issues, and environmental service problems.
  • Perform other work‑related duties or projects as assigned, such as facility and relocation projects.
