We are now hiring for a full-time Office Assistant 1 to join our Calumet Team at Altgeld Gardens!
ESSENTIAL JOB FUNCTIONS:
- Assists with data entry in the Client Management Database.
- Will be held accountable for following all Performances Standards presented within non-direct performance grid.
- Using tact and consideration, responds to telephone and in-person client inquiries, takes telephones messages, and assists clients in waiting room as required.
- Records, files, and retrieves a variety of documents using manual or automated systems. Destroys files and other records according to established procedures.
- Receives, stamps, records, and distributes incoming mail. Responsible for checking client history. Records payments. Distributes memos, schedules, bulletins, etc. to staff as required.
- Reviews all general information, goals, goal descriptions, signatures and goal completion (as appropriate) are completed appropriately and legibly on the IAP; ensures all appropriate verifications are provided, and ensures that the accompanying contact notes support the IAP.
- Operates TDD equipment and fax machine. May be key operator for copier, including maintaining equipment and xeroxing specific or voluminous assignments.
- Organizes and files papers and correspondence. Responsible for general maintenance of open and closed files. Retrieves and maintains closed files. Some assignments may require ability to stand and move about for extended periods, and carry files or similar materials.
- Processes monthly closing of files.
- Safeguards the provision of quality services.
- Using basic skills, operates computer using agency software.
- Warrants the information entered into the Client Management Database aligns with the client's individual files.
- Compiles a spreadsheet to document all data entered into the data management systems.
- Proficient with the data management systems and the ability to pull reports.
- Supports internal auditing of client record keeping to ensure compliance with CHA expectations.
- Performs other tasks as assigned.
- Works effectively with diverse staff and service population.
- High School Diploma or equivalent with one (1) year office experience or equivalent training required.
- Data Entry experience required.
- Computer knowledge of applicable software at an entry level.
- Strong organizational, verbal and written communication skills.
- Ability to manage multiple tasks simultaneously.
- Ability to exercise initiative and judgment, maintain accurate files and records, including numerical data.
- Basic knowledge of grammar and spelling, position requires Aptitude testing.
- Ability to work with diverse groups.
- Compensation is commensurate with years of related experience, position requirements, and candidate qualifications. The average salary for the position is $43,800.
