Role Overview

We are seeking a highly skilled, proactive Senior Executive Assistant to support investor relationships. This role provides dedicated support to one of our key investors and advisors and reports directly to the Director of Strategy & Investments.

You will be responsible for managing the scheduling, coordination, and logistics that power high-value investor engagement. Working closely with internal leadership and external stakeholders, you will ensure meetings, communications, and strategic interactions are executed with precision, discretion, and professionalism.

This is an execution-heavy, judgment-driven role—not a traditional administrative position. Success requires strong presence, sound judgment, and the ability to operate calmly and confidently in high-stakes, confidential environments.

What You’ll Do

As Senior Executive Assistant, you will play a critical role in enabling investor operations by owning the details behind complex, high-visibility interactions.

Key responsibilities include:
  • Act as a trusted point of coordination between investors, advisors, and internal teams, maintaining complete discretion at all times
  • Provide dedicated operational and administrative support for investor relationships in close partnership with the Director of Strategy & Investments
  • Manage complex, multi-party scheduling across time zones for investors, advisors, and senior leadership
  • Triage investor communications, assess priority, draft responses when appropriate, and ensure timely follow-up
  • Coordinate investor meetings, calls, and events end-to-end, including agendas, materials, logistics, and follow-through
  • Plan and manage detailed travel itineraries for investors and senior leadership, including flights, accommodations, ground transportation, and reservations
  • Source and manage vendors for investor events (venues, catering, hotels, transportation, etc.)
  • Support investor events, off-sites, and hosted gatherings with seamless execution
  • Prepare and organize materials for investor meetings, including presentations, briefs, and reference documents
  • Track action items, requests, and next steps tied to investor interactions and strategic initiatives
  • Maintain organized records of communications, itineraries, meetings, and documentation
  • Anticipate needs and proactively resolve scheduling or logistical issues before they escalat
  • Handle sensitive information with exceptional confidentiality and judgment
Experience
  • 8–10+ years in an executive assistant or executive operations role supporting C-level executives or senior leaders
  • Experience supporting investor, board, or advisor relationships
  • Proven ability to manage complex calendars, priorities, and logistics with minimal oversight
  • Extensive experience planning travel, meetings, and events across time zones
  • Background in fast-paced, high-performance environments (tech, finance, venture-backed, or similar)
Skills
  • Expert calendar management and multi-party scheduling
  • Inbox triage and follow-up management with strong prioritization judgment
  • Event planning and vendor coordination
  • Travel planning and itinerary building
  • Strong written communication and polished professionalism with external stakeholders
  • Proficiency in Microsoft Office (PowerPoint, Word, Excel), including building polished materials and decks
  • Strong systems for tracking action items, requests, and documentation
  • High discretion and sound judgment with confidential information
  • Organized, reliable, and detail-oriented
  • Calm under pressure and solutions-focused
  • Proactive, anticipatory, and execution-driven
  • This role requires clarity, precision, and discipline. There is zero tolerance for assumption—when clarity is missing, questions are expected
  • Until trust is fully established, actions, decisions, and communications should be confirmed in advance
  • When uncertainty exists, the expectation is to pause, confirm, and proceed intentionally
