Assistant Community Manager – Role Summary

The Assistant Community Manager assists the Community Manager in overseeing daily association operations and fostering strong relationships with the Board of Directors, developers, homeowners, and committees. This includes supporting the management of community operations, amenities, common areas, and association assets.

Key Responsibilities
  • Receive and respond to incoming phone calls and mail.
  • Draft and send professional correspondence to homeowners, board members, committee members, vendors, etc.
  • Fill in for receptionist as needed.
  • Maintain community hard files and upload files to websites and software.
  • Manage gate access for homeowners, residents, and club employees.
  • Maintain records of gate transponders, parking passes, and coordinate with the security company.
  • Conduct inspections of common areas to ensure proper maintenance.
  • Process and code vendor invoices for timely payment.
  • Provide exceptional customer service by communicating with homeowners, board members, and vendors and addressing concerns.
  • Assist in preparing written weekly and monthly management reports, community bulletins, and event bulletins.
  • Attend and participate in managerial and committee meetings as requested.
  • Assist Manager in drafting the annual budget and reviewing financial statements.
  • Set up and maintain new homeowners, send welcome packets within 24 hours, post charges to the account ledger, and ensure check to accounts receivable by end of day.
  • Receive and process ARC applications, respond to homeowner requests, and ensure complete application is submitted to ARC/ACC committee.
  • Work a variety of hours, including evenings, weekends, and holidays as needed.
Additional Duties
  • Practice and adhere to Access Management’s Service Standards.
  • Conduct business at all times with the highest standards of personal, professional, and ethical conduct.
  • Perform or assist with any operations as needed to maintain workflow and schedule.
  • Participate in meetings and work groups to integrate activities and resolve problems.
  • Ensure all safety precautions are followed while performing the work.
  • Follow all policies and standard operating procedures as instructed by Management.
Education & Experience

High school diploma or equivalent. AA or BA in hotel/hospitality or property management preferred.

Knowledge, Skills & Proficiencies
  • Excellent people, team‑building, and conflict‑management skills.
  • Strong knowledge of Microsoft Office:
    Word, Outlook, Excel. Knowledge of Vantaca a plus.
  • Excellent written and verbal communication skills.
  • Ability to make sound business decisions and work effectively with little or no supervision.
  • Strong problem‑solving and conflict‑management skills.
  • Ability to work with a wide range of personnel including vendors, office staff, and all levels of management.
Physical Requirements
  • Lift up to 25 lbs.
  • Sit for extended periods of time.
  • Stand for long periods and move freely in office and building.
Work Environment

The work environment is a normal office setting at an onsite community facility. This is a full‑time position with occasional evenings, weekends, and holidays. Consistent and regular attendance is required. Hours may exceed normal office hours and the schedule is subject to change based on business needs.
