About the Department

The Department of Medicine was the first department created when the medical school began over 110 years ago. It has evolved into the largest department in the university, with over 300 full‑time faculty and research faculty, and supports scholarship, discovery, education, and outstanding patient care. The department includes four top residency programs and twelve fellowship programs, and is recognized nationally for clinical excellence.

Its faculty and trainees represent the forefront of academic medicine.

Job Summary

The Academic Affairs Specialist, Appointments and Promotions will support the academic affairs team and ensure successful navigation of the appointments and promotions processes (including appointments, promotion, and tenure) for the Department of Medicine faculty and other academic appointees.

Responsibilities
  • Reviews, edits, and approves appointment case documentation.
  • Develops and implements appointment and promotion case scheduling strategy.
  • Assists the Director with training and educating section administrators on the appointment process.
  • Helps develop and implement solutions for faculty job changes employing options.
  • Develops and implements enhancements for academic processes.
  • Assists with all faculty payroll actions within Workday.
  • Reviews, edits, and approves academic hiring materials for submission to the Office of Academic Affairs.
  • Assists with managing the day‑to‑day operations of faculty affair programs with a moderate level of guidance.
  • Gathers and analyzes data for possible solutions for faculty‑related issues; writes reports and expands knowledge and experience in areas.
  • Performs other related work as needed.
Education and Qualifications

Minimum Qualifications: College or university degree in related field.

Work Experience: 2–5 years of work experience in a related job discipline.

Preferred Qualifications
  • Advanced degree.
  • Previous academic/faculty affairs experience.
  • University or academic medical center experience.
Technical Skills or Knowledge
  • Workday or similar HRIS system experience.
  • Knowledge of Microsoft Office.
  • Working knowledge of employment regulations and typical human‑resources procedures.
