THE ADMISSIONS AND MARKETING COORDINATOR is a part‑time contract position that will serve as a member of Pilgrim Lutheran School's administrative team and will work closely with the Chicagoland Lutheran Educational Foundation (CLEF), a non‑profit that supports Lutheran schools in Chicago.
The position reports both to the Admissions & Marketing Manager at the Chicagoland Lutheran Educational Foundation as well as the Principal and Communications Administrator of Pilgrim Lutheran School. Responsibilities of the Role Recruitment- Serve as the primary contact for prospective families, from first contact through enrollment at the school.
- Work with the Principal, Communications Administrator, and other stakeholders to identify activities and incentives to maximize enrollment.
- Implement a comprehensive strategy aimed at increasing and maintaining enrollment.
- Coordinate and lead tours for all prospective families.
- Develop, implement, and maintain an inquiry tracking process for all grades.
- Host recruitment events to engage prospective families.
- Identify and train Parent Ambassadors to promote the school.
- Conduct exit interviews for families who withdraw from the school.
- Assist the Communications Administrator with content ideas for the weekly newsletter communication to current families.
- Create regular correspondence with prospective families and community partners.
- Develop and implement a plan for increasing community engagement as evidenced by community visits to distribute flyers, speak at events, and create ways to partner with other organizations (Chamber of Commerce, alderman, churches, daycares, businesses, etc.).
- Develop a package of materials that are easily accessible to parents at every step of the recruitment and admission process.
- Participate in a bi‑weekly professional development program through CLEF focused on marketing, communications, and admissions.
- Manage website updates, promote community events, obtain photos, and assist the Communication Administrator with social media content ideas.
- Provide admissions and marketing related status reports to key stakeholders (i.e., school board, CLEF, and others) as needed.
- Assist with efforts to improve the appearance of the school through the development of marketing materials such as branded banners, signs, and collateral.
- Assist in the maintenance and design of the school’s website.
- Work with the principal and other stakeholders to identify activities and incentives to maximize retention.
- Create surveys to help gauge retention & parent satisfaction.
- Work with the principal to help connect with families who might be on the fence about enrolling for the following year.
- Connect with new families throughout the year to help them feel welcome and receive feedback.
- Assist the principal with exit surveys/interviews and gather feedback on why families leave the school/how the school can improve their programs.
- Can participate in conversations to brainstorm family retention events that the PTL or school plans and hosts. Assists with communicating the details of these events to families.
- Ability to work in the school setting with students and families from diverse communities.
- Willing to enthusiastically promote Christian values and work in a Christian environment.
- Proficient in Microsoft and Google Suites.
- Excellent oral and written communication skills.
- High attention to detail and follow-through.
- Ability to take direction, work independently, balance competing priorities, show initiative, and produce results.
- Friendly and engaging demeanor.
- Personal qualities of professionalism and integrity.
- Previous marketing or communications experience.
- Elementary school work experience a plus.
- 20 hours a week, $25/hour.
- Monday-Friday schedule with the occasional weeknight or weekend hours for admission events (i.e. open houses and any event that includes prospective families).
