The Operations Coordinator Physician Practice MA reflects the mission, vision, and values of Northwestern Medicine.
Responsibilities- Supervise and direct front‑line clinical and clerical staff.
- Interview, hire, train, coach and participate in performance reviews.
- Oversee day‑to‑day office operations within budget guidelines.
- Manage provider schedules to optimize patient care hours.
- Schedule staff and allocate resources to maximize patient access and productivity.
- Collect co‑pays, manage cash activities, bank deposits, and reconcile revenue.
- Ensure service excellence and perform service recovery.
- Manage medical supplies within budget.
- Ensure data accuracy, training, and information flow to central offices.
- Conduct regular staff meetings and attend supervisor meetings.
- Protect patient dignity and confidentiality at all times.
- Additional functions: review time reports, develop workflow tools, provide coaching and mentoring, resolve complex situations, monitor transactions, and develop policies.
- Bachelor’s degree or equivalent experience.
- Certified Medical Assistant (CMA, RMA, NCMA, CCMA, NRCMA) or equivalent.
- American Heart Association BLS/CPR certification.
- Minimum 3 years of experience in a medical or related business.
- Knowledge of health‑plan types: HMO, PPO, POS, commercial, Medicare, Medicaid.
- Understanding of patient flow in a medical office.
- Leadership experience.
- Proficiency with medical software, Word and Excel.
- Experience managing daily cash activity and reconciling income reports.
- Clinical experience as an MA, LPN, or RN.
- Knowledge of CPT and ICD‑9 coding.
- Supervisory experience.
