Position: Medical Scheduler (Onsite)

Overview

Medical Scheduler
- Onsite. Individual must be able to commute to and from our location M-F 8-5.

JOB SUMMARY

The Medical Scheduler is a vital role to the operations of the sleep study process. This role is primarily responsible for the receipt and entry of orders, scheduling patients, and confirming patients. It requires extensive contact with patients, insurance carriers, hospital personnel, and physician offices. This person will be charged with discussing the sleep process, treatment aspects of sleep disorders, and insurance benefits.

Must be computer literate and have impeccable phone etiquette.

Responsibilities
  • Receives orders from physicians and other referral sources. Confirms all information to process order is received and places request if more information is needed.
  • Enters orders into appropriate software system.
  • Responds to patient inquiries, analyzes request, provides information requested and either handles request or routes to proper personnel.
  • Reviews medical records for billable services, verifies insurance and/or other method of payment and obtains authorization when necessary; assigns appropriate diagnostic and procedure codes; assesses fees; enters data into medical software system.
  • Processes telephone orders by preparing patient paperwork.
  • Resolves patient and referral complaints or concerns by identifying problems and coordinating appropriate action.
  • Schedule patients to appropriate facilities and confirms their appointments and benefits.
  • Assemble together various forms required by program and service standards to record patient/client information and services rendered to establish medical records.
  • Assemble patient charts;
    Retrieve and review medical records from staff to ensure that records are complete, forms are in appropriate order and complete, verify appropriate information recorded and work with service staff to complete or update.
  • Accurately maintains files of all patients account profile information and referral source data including location and files medical records appropriately.
  • Attends in-service training to improve skills and to keep abreast of changes in policies and procedures within company and all applicable local, State and federal rules and regulations.
  • Complies with and adheres to all regulatory compliance areas, policies and procedures and “best practices”. Abides by all applicable local, State and federal rules and regulations.
  • Processes interpretations.
  • Other duties as assigned.
Job Specifications
  • License:
    Valid Driver’s License required.
  • Education:

    High school diploma or equivalent (GED) mandatory.
  • Experience:

    Preferred 1 year experience in medical office setting or medical office schooling with familiarity of services rendered.
  • Skills:

    Strong organizational skills.
    • Requires excellent verbal and written communication skills.
    • Exceptional interpersonal communication skills, projecting a positive attitude.
    • Ability to work independently on assigned tasks as well as to accept direction on given assignments.
    • Able to work collectively with administrative team associates.
    • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment meeting quality standards for services, and evaluation of customer satisfaction.
    • Able to deal professionally, courteously, and efficiently with the public and to remain calm under stress.
    • Able to type at least 55-60 wpm and use 10-key calculator.
    • Knowledge of procedural and coding systems and medical terminology.
    Job Context

    Indoors, office, business clothes, occasional outside environmental conditions; protection from weather conditions but not necessarily from temperature changes when inside. No environmental or job hazards. Excessive sitting and computer work.
