People & Culture Coordinator – responsible for supporting field People & Culture members with administrative and operational tasks including maintaining personnel files, coordinating onboarding, employment data changes, and terminations.
Job Duties- Supports team members in processing and onboarding new employees (submitting background checks, drafting welcome announcements, sending welcome email to new hires).
- Collects and coordinates with Managers to monitor completion of new hire paperwork.
- Pulls and provides copies of personnel documents for exit processes (Relocation, Signing Bonus, Tuition Reimbursement, Manager/Senior Manager Agreement).
- Creates and maintains pre‑employment and personnel files.
- Assists with development, creation, and running of reports for field HR personnel.
- Partners with local administrative professionals to coordinate events or programs related to field HR initiatives.
- Supports Talent Acquisition by scheduling phone and in‑office interviews.
- Tracks status of job descriptions, ensuring employee job title changes are updated.
- Assists in processing departmental organizational changes (job title changes, career advisor changes, etc.).
- Produces the orientation schedule and other materials for new hires.
- Coordinates new hire specifics with local administrative professionals (office space preparation, computer receipt and configuration).
- Coordinates temp / temp‑to‑hire process (tracking statements of work, background checks, monitoring hours worked, and converting temporary staff to regular status).
- Other duties as required.
- High school diploma or GED (required).
- Bachelor’s degree (preferred).
- One (1) year of administrative experience (required).
- Experience in a human resources environment (preferred).
- Proficiency in Microsoft Office applications and database systems (required).
- People Soft HR experience (preferred).
- Excellent verbal and written communication skills.
- Ability to foster and maintain relationships with professionals at all levels.
- Excellent planning and organizational skills with strong attention to detail.
- Strong project and time management skills and sense of “ownership” for project assignments and regional responsibilities.
- Ability to maintain a high level of confidentiality and professionalism.
- Ability to work well with a team as well as independently.
- Desire to learn and expand knowledge base.
