Pay Range: $86,195 - $140,275 per year

Summary
Reporting to the General Counsel & Chief Legal Officer for Rush, this position is responsible for overseeing the administrative functions of Rush Legal, Office of Risk and Claims management and ensuring coordination of other administrative tasks across all departments and offices in Corporate and Legal Affairs. In addition, the role provides paralegal support to employment, risk management (clinical, legal and enterprise risk) and insurance functions.

Requirements

  • Bachelor’s degree required.
  • 5 years of experience as a paralegal is strongly desired.
  • Prior experience managing an office – ideally a legal office – is strongly desired.
  • Technological literacy – significant experience with Microsoft Office (including Word, Excel, and Teams) tools is necessary.
  • Clear and concise verbal and written communication skills.
  • Organizational and analytical skills required.
  • Experience meeting deadlines required.
  • Competent in data analysis techniques.
  • Experience working collaboratively and independently.

Responsibilities

  • Prepare and submit all licenses (initial and renewal), annual reports for all Rush entities, assumed names, tax exemption filings with local, state and federal agencies.
  • Provide oversight of all external counsel defense spend to ensure compliance with billing guidelines as well as internal monitoring and submission of payment.
  • Provide oversight of external relationships with class action firms and litigation where Rush is a class member, including obtaining all responsive documentation for submission to establish class participation, tracking of case status and reporting.
  • Serve as liaison with external law firms for all correspondence and documentation needed by external auditors.
  • Prepare all law firm engagement letters and handle all settlement documentation, including case closure and financial coordination of case payment.
  • Prepare litigation holds as needed.
  • Assist with any and all reporting of claims via the loss run.
  • Respond to claims history requests of providers and external facilities who are credentialing or recredentialing.
  • Work with Finance Department and General Counsel on collecting and collating information for bond disclosures, external audits, budgets, and other financial matters. Serve as the Legal and Risk Department’s principal contact and liaison with Finance, including Accounts Payable, Accounts Receivable, Payroll, and Benefits.
  • Serve as the Legal and Risk Department’s principal contact and liaison with Human Resources, including Benefits and HR Operations; and with Information Systems to help gather necessary information and resolve issues and problems.
  • Manage and oversee all support staff and administrative personnel throughout Legal, Risk, Insurance, Governance, Institutional Equity, and other groups within Corporate and Legal Affairs as directed by the General Counsel.
  • Provide day‑to‑day coordination of all office staff for handling of phone calls, mail and in‑person presence for office‑related needs.
  • Prepare and submit all professional organization and professional licensure applications, subscriptions and renewals.
  • Process all invoices for Legal and Risk, including providing day‑to‑day oversight of Serengeti.
  • Oversee the procurement of all office supplies, capital needs and replacement of items for the office.
  • Oversee the onboarding and offboarding of all employees.
  • Manage the Time and Attendance process for all employees.
