Event Manager / Planner
Job Description Summary
This role supports the execution of high-quality meetings, conferences, and events that align with organizational goals and member engagement strategies. Operating under the direction of senior leadership, the role ensures seamless delivery through effective planning, vendor coordination, and team support. The position contributes to the continuous improvement of event operations and supports the development of team members through coaching and best practice sharing.
Responsibilities- Serve as the primary contact for assigned programs, overseeing logistics, vendor management, and internal coordination. Leverages event technology platforms to manage RFP creation, site selection, and contract awarding. Coordinates with project manager, sponsor ships & marketing lead for onsite program needs to include venue, AV, food & beverage, security, and other operational needs.
- Leads and manages a team to drive effective performance management, fostering professional growth, and creating a positive and inclusive work environment. This role utilizes strong leadership and communication skills to motivate and inspire team members, ensuring they are aligned with and committed to achieving the organization's goals.
- Ensures policies and procedures standards are met across the organization. Collaborates with Sr. Director on ensuring organization adheres to policies, enacts adjustments, and ensures team is aware of updated policies and feedback.
- Finance and Other:
Contributes to the reconciliation of the Conference and Events Team budget. Ensures direct reports meet quarterly forecast deadlines. Tracks industry-wide events, event industry standards, and ensures teams are up to speed.

Required Education, Certifications and ExperienceEducation:
Required Bachelor's Degree or equivalent work experience
Experience:
Required 5+ Years RFP, contracting and meeting planning experience working with Planning Committees and key stakeholders
Skills and Abilities
- Skilled in successfully managing external consultants, agencies, and vendors
- Knowledge of event technology and industry innovations, including data management and registration systems and programs
- Proficient with Microsoft Office Suites
- Understanding of databases; technologically savvy
- Effective written and verbal communication skills
- Effective relationship building and influencing skills
- Effective project management, excellent priority and time management skills.
- Understanding of onsite operations, including AV, staging, production, housing, food and beverage management and exhibitor management.
- Hospitality industry knowledge (preferred)
- Advanced knowledge of creative design
- Excellent organizing, planning and prioritization skills
- Preferred:
Certified Meeting Professional (CMP) – Events Industry Council
Preferred Experience
- Experience with developing and monitoring budgets and tracking expenses.
- Experience with staff management and development.
- Experience managing multiple meetings simultaneously, driving a process or program to completion within budget and time-frame.
- Experience working with industry experts, external consultants, vendor/partner executives and providers.
- Experience in healthcare industry and healthcare industry priorities and challenges.
- Experience managing 10-15+ meetings and events, multi-faceted, conference and education programs including RFP management, logistics, contract negotiations, onsite management and post-event wrap-ups.

We may ultimately pay more or less than the hiring range and this hiring range may also be modified in the future. A candidate’s position within the hiring range may be based on several factors including, but not limited to, specific competencies, relevant education, qualifications, certifications, relevant experience, skills, seniority, performance, shift, travel requirements, and business or organizational needs. This job is also eligible for annual bonus incentive pay.
