Planning Coordinator, Midwest

This is a hybrid full-time exempt position reporting to the Director, Sales Enablement; must be based in the Greater Chicago area. Requires a minimum of 3 days in the Chicago office.

The Role:

The Planning Coordinator provides administrative, operational, and reporting support to the Planning team and sales organization. This role is responsible for building media plans, supporting campaign execution, preparing sales materials, maintaining accurate records and ensuring day-to-day processes run efficiently. It's an excellent entry point for someone looking to build foundational knowledge of media planning systems and processes, with a clear path toward growth within Planning, Ad Operations, Marketing, Sales, and other business functions.

Key Responsibilities:

Order Management

• Create, enter and revise media plans and sales orders in ad management software.
• Maintain accurate order records and supporting documentation.
• Perform quality control checks to ensure order accuracy and completeness.
• Assist with troubleshooting order-related issues.

Campaign Support

• Support the setup and execution of media campaigns to ensure accuracy and timely delivery.
• Monitor campaign milestones and assist with tracking deliverables and deadlines.
• Coordinate campaign-related documentation and maintain organized records.
• Escalate delivery concerns or discrepancies to appropriate team members for resolution.
• Assist with billing reconciliation and invoice requests.
• Support investigations into billing discrepancies in partnership with Finance and Operations teams.

Qualifications:

• Minimum of 1+ years media planning, buying, and/or operations experience preferred
• Detail-oriented, well-organized, and highly motivated to maintain a superior level of accuracy
• Strong project management and multitasking skills to provide support across a large client portfolio
• Excellent written and verbal communication skills
• Proficient in Microsoft Office (Word, Excel, PPT)
• Proactive, positive attitude that thrives in a fast-paced environment
• Comfortable working both independently and collaboratively
