Executive Assistant To The Chief Executive (CEO)
We are seeking a highly organized, proactive, and resilient Executive Assistant to provide comprehensive support to the Chief Executive Officer of a growing home health organization. This is a fast-paced, high-impact position that requires exceptional organizational skills, sound judgment, discretion, and the ability to anticipate needs before they arise. The ideal candidate is confident, adaptable, and thrives in a demanding environment where priorities can shift quickly.
They are professional under pressure, communicate effectively with individuals at all levels, and possess the confidence to navigate challenging situations without taking feedback personally. This individual serves as a trusted partner to the CEO, helping maximize efficiency while maintaining confidentiality and professionalism.
Essential Responsibilities
- Manage and maintain the CEO's complex calendar, appointments, meetings, and travel arrangements.
- Coordinate daily schedules and proactively identify and resolve scheduling conflicts.
- Serve as the primary point of contact for internal and external communications on behalf of the CEO.
- Screen phone calls, emails, and correspondence, ensuring urgent matters receive immediate attention.
- Take accurate messages and independently resolve issues whenever appropriate, keeping the CEO informed of significant developments.
- Prepare meeting agendas, presentations, reports, and other executive-level documents using Microsoft Word, Excel, and PowerPoint.
- Draft professional correspondence, memos, and communications.
- Organize and maintain confidential files, records, and documentation.
- Assist with special projects, strategic initiatives, and administrative tasks as assigned.
- Review, analyze, and compare contracts, agreements, and business documents, identifying key differences and potential concerns for CEO review.
- Coordinate meetings with attorneys, vendors, clients, healthcare partners, and executive leadership.
- Monitor deadlines and ensure timely completion of critical tasks and follow-up items.
- Maintain strict confidentiality regarding sensitive company and employee information.
- Anticipate executive needs and provide solutions before issues arise.
- Support executive decision-making by gathering information, conducting research, and preparing summaries.
Qualifications
Required:
- Minimum of 5 years of experience supporting senior executives or C-level leadership.
- Exceptional organizational and time management skills.
- Outstanding verbal and written communication abilities.
- Advanced proficiency in Microsoft Office Suite, including:
Excel, Word, PowerPoint, Outlook. - Strong attention to detail with excellent proofreading skills.
- Ability to prioritize multiple projects with competing deadlines.
- Demonstrated ability to exercise discretion and maintain confidentiality.
- Excellent problem-solving and critical-thinking skills.
- Ability to work independently with minimal supervision.
Preferred
- Experience in the healthcare or home health industry.
- Legal assistant, paralegal, contract administration, or other legal background.
- Experience reviewing and comparing contracts, vendor agreements, and legal documents.
- Bachelor's degree in Business Administration, Healthcare Administration, Legal Studies, or a related field.
