POSITION SUMMARY:

Under general supervision from the Clinic Site Manager or Dental Practice Manager, the Clinic Support Supervisor will provide assistance to the Clinic Site Manager or Dental Practice Manager in managing and/or performing day-to-day activities at assigned site and support team to include:
Staffing assignments and schedules; initial staff complaints/issues; performance evaluations on subordinates; front office patient care services to ensure delivery of quality patient care. In addition to support to staff, the incumbents will serve as an initial escalation point for patient complaints directed at their downline staff. Heavy collaboration with other work units is critical to supporting our patients and staff.

ESSENTIAL JOB FUNCTIONS:

The list that follows is not intended as a comprehensive list, but rather to provide a representative summary of the major duties and responsibilities. Incumbent(s) will be required to perform a variety of duties listed, including but not limited to:
  • Consults with the Clinic Site Manager / Dental Practice Manager to develop staffing plans; coordinates, directs, and provides patient care and safety orientation for new employees and ongoing training and/or education of downline staff.
  • Maintains staffing schedules in staff scheduling system, ensuring effective staff utilization to meet staffing and workload requirements.
  • Assist Clinic Site Manager / Dental Practice Manager in new subordinate staff interview and candidate selection.
  • Monitors and approves subordinate staff planned time off requests and time card processing.
  • Addresses subordinate staff conflicts and performance concerns in collaboration with the Clinic Site Manager / Dental Practice Manager.
  • Assist Clinic Site Manager / Dental Practice Manager in maintenance of provider schedules in the Electronic Health Record (EHR).
  • Assist Clinic Site Manager / Dental Practice Manager with quarterly chart audits and implementation and oversight of process improvement initiatives for area of responsibility.
  • Assist Clinic Site Manager / Dental Practice Manager with meetings, planning and execution.
  • Participates in continuing education to improve skills and abilities and stay abreast of current technologies/practices.
  • Performs duties related to the Receptionist, Records and Referral Coordinator and other downline functions as part of the daily responsibilities to ensure proper coverage of duty assignment.
  • Performs other duties as assigned.

    Experience and Skills
    The following knowledge, skills, and abilities are required for an employee to successfully perform their duties:
    • High School Diploma or equivalent, General Education Diploma (GED) required;
    • Previous supervision and experience in health care management preferred; a minimum of three (3) years of related health care clinic experience required.
    • Demonstrates a high level of interpersonal skills, time management skills, and an ability to meet established productivity standards both independently and in motivating subordinates.
    • Exhibits a high degree of courtesy, tact, and poise when interacting with patients, families, and other healthcare professionals.
    • Excellent written and oral communication skills, strong organizational problem-solving and analytical skills.
    • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm as an innovative team player.
    • Detailed oriented and works with a high level of accuracy in every aspect of the job.
    • Ability to ensure compliance with HIPAA, federal, state, and local laws and regulations supporting patient confidentiality and risk management processes.
