ResponsibilitiesReview, modify and prepare moderately complex templates, letters, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials; research, compile and summarize information/dataSupport leaders through proactive calendar and email management, helping to align priorities, manage time effectively, and anticipate scheduling conflictsCoordinate invoicing processes and support accounts receivable activities with accuracy and attention to detailEnter, review and maintain client accounts and contact information in the Client Relationship Management (CRM) platformReview upcoming deadlines and work requirements with the team; coordinate the logistics and flow of work to specific team members (i.e., documents for review/signature)Coordinate and schedule internal and external meeting and appointment logistics and prepare supporting materialCoordinate travel arrangements and reservationsMaintain electronic and paper filing systemsProactively contribute to the development of new ideas and approaches to improve work processesBuild strong, professional relationships with team members, leaders, and clients, serving as a reliable and trusted point of coordinationDemonstrate flexibility and responsiveness to support evolving business needs, including working outside of standard hoursSkills and ExperiencePost-secondary education in business administration is preferred5+ years of increasingly complex administrative responsibilities or project coordinationExperience in a professional services environment is preferredStrong client service focus in dealing with both external and internal clientsProven ability to train, coach, and develop others, enabling consistent performance and professional growthExcellent organizational and time management skills, with the ability to manage multiple tasks simultaneously
