POSITION OVERVIEWThe Assistant Office Supervisor will provide comprehensive support to the Office Supervisor and collaborate closely with the Facilities team to ensure smooth daily operations. This roleis responsible fora blend of administrative duties, office coordination, employee support, and camera/security system oversight. The ideal candidate is organized, proactive, and able to manage multiple responsibilities in a fast-paced environment. In addition to supporting office leadership, this role plays a keypartinmaintainingefficient workflows, safeguarding workplace standards, and ensuring positive employee experiences.

Administrative & Office Support
- Provide daily administrative support to the Office Supervisor, company executives, and management team.
- Organize internal events with the support of HR.
- Maintaina professional presence acting as a friendly and reliable point of contact.
- Prepare and format information for internal and external communication—including memos, emails, presentations, and reports.
- Assistin preparing regularly scheduled reports and documentationwhenrequested.
- Manage office supply inventory with the support of the Facilities Assistant.
- Assist with new-hire onboarding tasks as assigned with IT and the Facilities Team(office space clean-up,desk setup,provide any necessary office supplies,etc.).
- Perform general officeadministrativetasks to support an efficient, well-functioning work environment.
- Work with the Facilities teamand Facilities Assistant to coordinate maintenance requests, vendor visits, andanybuilding-related services as needed.
- Helpmaintaincleanliness, organization, and safety standards throughout the workplace.
- Assist the Facilities Assistant with tracking, documenting, and resolving facilities-related issues.
- Monitor and manage security camera systems.
- Report any issues, irregularities, or concerning findings from camera footage directly to HR and Management.
- Maintain confidentiality when handling sensitive employee or security-related information.
- Collaborate effectively with company leadership and cross-functional teams.
- Adapt to changing priorities andassistwith special projects as needed.
- Perform other duties as assigned to support company success.
- 3+ years
of experience as an Administrative Assistant. - 1+ year
managing Microsoft Outlook calendars for multiple individuals. - Proficiency in
MS Office Suite
(Word, Excel, PowerPoint, Outlook). - Ability to manage multiple tasks in a fast-paced, dynamic environment.
- Mustmaintaina friendly, professional, and approachable demeanor when interacting with employees, vendors, and leadership.
- Strong organizational skills, attention to detail, and problem-solving abilities.
- Exceptional written and verbal communication skills.
- Experience working independently and managing competing priorities.
- Experience with camera systems is a
plus
.
- High School Diploma or GED required.
- Prolonged periods of standing or sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
