The Academic Dean’s Office Support Specialist II provides administrative and clerical support to the academic deans and the Administrative Assistant in the Dean’s Office. The position performs general office duties with minimal supervision and supports daily operations to ensure efficient workflow. Duties and responsibilities may be adjusted as the needs of the College evolve.
- Provide customer service to students, faculty, staff, and visitors.
- Assist the Administrative Assistant with distributing student surveys for faculty evaluations and routing completed evaluations to the Deans.
- Serve as a back‑up to the Administrative Assistant or Program Support Specialist I.
- Maintain confidentiality of sensitive information.
- Assist with maintaining documents, files, records, and office systems.
- Perform receptionist duties, including answering phones, taking messages, screening calls, and scheduling appointments.
- Assist with room reservations for meetings and events.
- Support communication processes related to faculty absences.
- Help process purchase orders, vouchers, supply orders, and related documentation.
- Assist with coordinating Dean’s Office events, including Faculty Engagement Day and Heritage Middle School visits.
- Update faculty office hours and syllabi records.
- Create and distribute events and program marketing flyers.
- Assist with Adjunct Orientation.
- Prepare and maintain Adjunct faculty mailboxes.
- Provide coverage in Adult Education and other departments during high‑demand periods.
- A high school diploma or GED.
- A minimum of three (3) years of general office experience.
- Strong written communication, grammar, and spelling skills.
- Proficiency in Microsoft Office applications, including word processing, spreadsheets, and data entry.
- Ability to exercise sound judgment, discretion, initiative, and maintain confidentiality.
- Ability to work a flexible schedule, including occasional evenings, with minimal supervision.
- Must be able to demonstrate the Morton College core values of compassion, equity, accountability, innovation, and excellence.
- An Associate’s degree.
- Bilingual ability in English and Spanish.
- Ability to work collaboratively in a multicultural environment.
- Demonstrated creativity when addressing sensitive or confidential matters.

- High attention to detail and accuracy.
- Strong organizational skills and the ability to work independently and manage time effectively.
