Role:
Facility Administrator
- Provide administrative support to a team of facility and project managers, assisting with a range of tasks related to building maintenance and project coordination. This role includes managing schedules, organizing documentation, developing, and streamlining processes, and ensuring overall administrative efficiency. Responsibilities also include maintaining compliance with company policies and procedures.
- Clerical and Organizational Tasks: filing, data entry, typing, copying, and scanning documents.
- Provide support to Facility and Project Managers: assisting other team members with various administrative needs and preparing requests for quotes.
- Project Coordination: tracking deadlines, facilitating communication, and assisting with project related tasks. Submit reports and prepare presentations as needed.
- Develop process to maintain records: create and update databases and records for facility and project management, and other data.
- Scheduling and Coordination: managing calendars, scheduling appointments, and coordinating meetings.
- Communication: answering phones periodically, responding to emails, and preparing correspondence.
- Organizational

effectively communicates with team members, vendors, and other stakeholders. Excellent written and verbal communication. - Time Management: prioritize tasks and meeting deadlines.
- Computer Proficiency: high level competency with Microsoft Office and other relevant programs. Demonstrated solid proficiency in Microsoft Excel, including building and maintaining workbooks, developing spreadsheets and creating custom formulas.
