Position Summary

The Accounts Payable Coordinator is responsible for the accurate, timely, and compliant processing of accounts payable transactions. This role supports the Accounting and Finance team by managing invoices, reconciling accounts, and ensuring adherence to company policies, tax regulations, and accounting standards. This is a full‑time, in‑office position. The ideal candidate is detail‑oriented, collaborative, and experienced accounting environments.

Invoice Management
  • Manage and monitor incoming invoices email account, ensuring timely review and response
  • Review and validate accounts payable invoices for accuracy and completeness, and compliance with company coding
  • Accurately enter all invoice data into Yardi software and route to appropriate reviewer
  • Manage and reconcile all sales and use tax as they apply to invoices
Payment Coordination
  • Prepare and organize necessary documentation for payment approval
  • Coordinate with vendors to obtain required documentation for payment processing, including W-9s and tax‑related forms
Vendor Relations, Communication, and Documentation
  • Coordinate with internal teams and vendors regarding payment status and inquiries.
  • Assist in the resolution of payment‑related inquiries
  • Maintain accurate records of invoices, payments, and related documentation
  • Review and reconcile with vendor statements to keep all vendors current on invoice payments
Administrative Support
  • Assist with general administrative tasks, including filing, data entry, and document organization.
  • Review AP policies, identifies areas for process improvement, and enhances vendor management strategies

  • Education. BA or BS degree
  • Professional Experience. Minimum of 1 - 3 years of experience in accounts payable. Knowledge of key aspects of finance and accounting, including an understanding of general accounting principles

  • Computer and Technical Skills. Should be able to embrace and adapt to technology required to fulfill responsibilities of this position, to include Microsoft Office, Yardi Software Systems, and other required software, or equal.

  • Communication. Developed writing and verbal communication skills and the ability to work effectively with other team members.
