The Role:
We are seeking an organized, motivated, and detail-oriented Accounting & Purchasing Coordinator to join our growing team. This position plays a critical role in supporting the financial and purchasing operations that keep our projects moving forward.
As part of the accounting team, you will help maintain accurate financial records, support accounts receivable activities, administer purchasing documentation, track budgets, and ensure the integrity of information within company systems. You'll work closely with Accounting, Project Management, Production, and Operations to support projects from concept through completion.

What You'll Do:
Accounting Administration:
Perform data entry and record maintenance with a high degree of accuracy.
- Enter and verify accounting transactions in Quick Books Online Advanced.
- Assist with account reconciliations and maintain accurate accounting records and supporting documentation.
- Assist with the preparation of financial and operational reports.
- Organize and maintain electronic accounting files.
- Support accounting projects and administrative initiatives as assigned.
Generate and distribute client invoices within Quick Books Online.
- Monitor client accounts and payment activity.
- Apply client payments and maintain accurate account records.
- Assist with client account reconciliations.
- Maintain supporting documentation for billing and collections activities.
- Prepare accounts receivable reports for management review.
Maintain vendor records, including tax forms, insurance certificates, and contact information.
- Track purchase requests, commitments, and budget activity.
- Maintain procurement-related documentation and filing systems.
- Assist with vendor onboarding and compliance documentation.
- Generate purchasing and spending reports.
- Monitor purchasing records for completeness and accuracy.
- Coordinate internally to obtain missing approvals and supporting documentation.
- Support purchasing procedures and internal control processes.
Support special projects and process improvement initiatives.
- Assist with cross-functional projects and other duties as assigned.
- Provide administrative support to the Accounting and Operations teams as needed.
High school diploma or equivalent.
- Minimum one (1) year of bookkeeping, accounting, or related financial administration experience.
- Minimum of one (1) year of experience using Quick Books Online.
- Proficiency in Microsoft Excel, Outlook, Word, and Teams.
- Strong attention to detail and organizational skills.
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
- Strong written and verbal communication skills.
- Self-motivated with a positive attitude and commitment to accuracy.
- Ability to work independently while collaborating effectively across departments.
Associate's or Bachelor's degree in Accounting, Finance, Business Administration, or a related field.
- Experience supporting purchasing, procurement, or vendor management functions.
- Experience in manufacturing, fabrication, construction, or project-based environments.
- Experience with job costing, budgeting, or project accounting.
- Advanced Microsoft Excel skills.
