Position: Billing Assistant (2026-3257)

JOB SUMMARY

The Billing Assistant position is within Prolink's Finance department and partners with key stakeholders to support billing activities.

RESPONSIBILITIES
  • Maintain master time entry workbook weekly by marking notes appropriately to facilitate the removal of stale data from the workbook and to ensure existing travelers are updated with time entry details and new travelers are added.
  • Ensure master time entry workbook is reviewed every week to identify any time that requires additional follow up for time entry and/or identify entries that will not need time entered for that week, and mark appropriately in the VMS.
  • Ensure that missing documentation is added to the missing timesheet request log and work across multiple departments to assist in backup collection as needed.
  • Communicate across multiple departments when traveler orders are not set up and/or need revisions.
  • Assist with time approvals as needed.
  • Perform other duties as assigned.
REQUIREMENTS
  • 1+ year of experience in billing, timekeeping, payroll support, accounting support, or administrative operations
  • Strong attention to detail with a high level of accuracy in data entry and reporting
  • Proficiency in Microsoft Excel, including:
    • Pivottables
    • VLOOKUP/XLOOKUP
  • Data filtering and reconciliation
  • Basic reporting
  • Strong organizational and time‑management skills with the ability to prioritize deadlines in a fast‑paced environment
  • Ability to identify discrepancies, troubleshoot issues, and follow through to resolution
  • Excellent written and verbal communication skills for coordination with internal teams
  • Comfortable handling confidential financial and employee information
  • Ability to work independently while collaborating cross‑functionally with accounting, operations, payroll, and staffing teams
  • Comfortable with repetitive but high‑accuracy work
  • Tech‑savvy and quick to learn systems
  • Reliable with deadlines
PREFERENCES
  • Proficiency in Workday and Vendor Management Systems (VMS) such as Shiftwise, Fieldglass, Vector, Einstein, VNDLY, or similar platforms.

Candidates with additional and relevant experience, education, licensing, or certification beyond the role’s requirements and/or specific to the nature of Prolink’s business will be given additional consideration in the candidate selection process.
