Job Description

Apex has an immediate need for a Documentation Coordinator to support a Quality team. This position is responsible for requesting, reviewing, and following‑up on documentation required for quality documentation on raw materials supplied to Erlanger. It will be accountable for maintaining the accuracy of the supplier documentation database data and work closely with quality, procurement, and business stakeholders to facilitate sustained compliance with up‑to‑date documentation.

Responsibilities
  • Generate email requests to vendors based on all materials purchased and request updated expired documents.
  • Follow‑up with vendors for missing or inaccurate documentation.
  • File documentation based on document and item type.
  • Manage pending requests and identify missing documents.
  • Review documentation for completeness and accuracy.
  • Generate supplier‑specific emails as needed.
  • Escalate vendor requests to procurement within the given timeframe.
  • Upload and categorize documents based on predefined categories and required metadata.
Requirements
  • Work independently.
  • Proficient in Excel, Outlook, and SharePoint.
  • Remain flexible with changing requirements.
  • Strong communication skills to build consensus and positive vendor relationships.
  • Detail oriented.
  • Ability to multi‑task while exhibiting strong organizational and prioritization skills.
  • Quality and food safety experience preferred.
