Duration: 3 Months (Potential Extension)
Pay Rate : $20.00/Hr. on w2
Shift Timing: 3 days/week, 20-25hrs/week
Job Description:
- Assists in evaluating and determining records management needs for departments and work groups through utilizing criteria for volume of records, number of official records managed, confidential records and business continuity.
- Assists in developing recommendations and procedures for creation, control, storage and disposal of those records used in a business process.
- Assists in formulating recommendations to improve collaboration and compliance associated with information creation, storage and retrieval through gathering and analyzing user information requirements.
- Assists in providing user support for document and records management systems, including trouble shooting user errors. Assists in developing records compliance and records retention programs. - Analyzes compliance with programs and supports implementation efforts to ensure that customers follow the policies and procedures of the program.
- Analyzes department records, classifies records and researches the appropriate retention value for each class of records.
- Assists in developing and implementing quality assurance guidelines/practices, reporting mechanisms and measurement metrics for electronic document and records management systems.
- Works with departments to identify vital records.
- Provides input regarding implementation of proper procedures for vital record protection.
- Creates written documentation of workflow and processes for managing all record types within departments.
Under the guidance of the Archivist, the contractor will support the systematic processing of the Core Brand Records collection. This will include:
Assessment, Arrangement, and
Description:
- Assist with the intellectual and physical arrangement of materials within the collection, ensuring logical organization and proper housing for long-term preservation.
- This involves adding to our brand records inventory and conducting basic research to enhance descriptive metadata (i.e. documenting project names, collection provenance, etc.).
- Rehouse collection materials into archival-quality folders and boxes, ensuring physical stability and protection in preparation for offsite scanning.
- Identify duplicates and materials that require specialized handling that need to be removed and processed separately.
- Support the creation and refinement of descriptive metadata for collection items, preparing them for ingestion into our archival management systems and ensuring accurate representation for future access.
- Conduct quality control checks on outgoing and returning processed materials to ensure consistency, accuracy, and adherence to archival standards and internal workflows.
- Prepare physical records for transfer to an offsite scanning vendor, including inventorying, labeling, and documenting the physical condition of materials.
- Assist in developing and updating processing guidelines and documentation as needed.
Academic Background:
- Currently enrolled in a Bachelor's of Master's degree program in Archival Studies, Library and Information Science, History, Museum Studies, or a related field.
Skills:
- Demonstrated interest in archives, records management, or cultural heritage preservation.
- Familiarity with archival standards and best practices (beneficial but not required, willingness to learn is key).
- Superior oral and written communication skills.
- Strong organizational skills and meticulous attention to detail.
- Ability to work independently and collaboratively within a team environment.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
- Ability to maintain confidentiality of sensitive corporate information.

- This role may involve some physical activity, including lifting and moving archival boxes (up to 25-30 lbs.) and prolonged periods of standing, bending, and stretching for filing and rehousing.
