Responsibilities:
- Organize and coordinate meetings, events, and schedules to ensure smooth operations.
- Prepare and manage bid proposals, service contracts, and invoices while assisting with compliance in property management processes.
- Review and code invoices for approval by the Property Manager to maintain accurate financial records.
- Oversee office supply inventory to ensure the office remains stocked and operational.
- Maintain contract administration systems, including tracking and filing contracts and certificates of insurance.
- Monitor property maintenance work orders and generate monthly status reports for the Property Manager.
- Administer the property purchase order system and maintain lease and contract files.
- Foster positive tenant and client relationships while tracking and addressing service calls.
- Assist in preparing monthly, quarterly, and annual management reports, including budget documentation.
- Process tenant bill-back invoices, staff hours, and check requests while ensuring accuracy and compliance. Requirements - Proven experience in administrative roles, preferably within property management or office settings.
- Strong customer service skills with the ability to build positive relationships.
- Proficiency in Microsoft Office Suite and familiarity with contract administration software.
- Knowledge of accounts payable processes, including invoice coding and review.
- Exceptional organizational skills to manage files, reports, and property systems effectively.
- Ability to monitor and track work orders, contracts, and insurance certificates.
- Solid understanding of budgeting and report preparation.
- Effective communication skills, both written and verbal, to handle correspondence and tenant interactions. Talent Match®
