Senior Administrative Assistant 1

Location:

Cincinnati, OH.

This is a full‑time position with a nationwide administrative team. Join us in Cincinnati to be part of an exciting, growing office.

Duties/Responsibilities
  • Proofread, edit, format, and produce documents using MS Word, Excel, PowerPoint, and Visio with emphasis on quality and consistency.
  • Produce and assemble large PDF documents with Adobe Acrobat DC Pro, including converting, combining, and creating forms.
  • Provide direct support to executives, including calendar management, travel scheduling, and expense report processing.
  • Act as the “face of the company” by greeting visitors, answering the main office phone, and routing calls.
  • Perform front desk and general office administrative duties, maintaining office equipment and common areas.
  • Route packages and supplies to the appropriate work group.
  • Demonstrate professionalism, work well under pressure, and maintain a positive attitude.
  • Deliver administrative support for hard copy and electronic deliverables, reviewing documents for adherence to standards.
  • Support travel arrangements, conference registration, and staff accreditation.
  • Provide marketing support such as creating RFP responses.
  • Assist with project administration.
  • Schedule and support on‑site and off‑site conferences, meetings, teleconferences, and Teams meetings, including catering and equipment set‑up.
  • Act as building facilities liaison when issues arise.
  • Successfully take direction and manage multiple priorities with ease.
  • Perform other tasks as requested.
  • Occasionally travel to other Haley & Aldrich office locations.
Skills/Experience
  • 4+ years of corporate work experience.
  • Strong attention to detail to deliver high‑quality work products that meet document standards.
  • Able to respond promptly and effectively to external and internal clients and manage time to prioritize tasks.
  • Excellent verbal and written communication skills, including grammar and punctuation.
  • Highly proficient with Microsoft Office (Word, Excel, PowerPoint, Outlook) and Adobe Acrobat Pro XI.
  • Intermediate skills with SharePoint and MS Project.
  • Familiarity with standard office equipment (phones, copier, printers, fax, LCD projector).
  • Familiarity with email file manipulation: attachments, CD versions, document management.
  • Proven track record of executive support with confidentiality.
Compensation

Salary range for this position in Cincinnati, OH is $29.00 - $33.00 hourly.
